June 8, 2012 - Filter out SPAM messages when the message contains a 1 pixel font size.

Many SPAM messages are using 1 pixel font size to try to get their messages through SPAM filters.  They could be using good words that cannot be seen as part of their SPAM message to fool the SPAM filters that their message is legitimate.  However, it is not likely that a legitimate message would ever use a 1 pixel font size in their message.

 

A good way to stop a lot of SPAM from reaching your users is to create a Content Filter in Office-Logic Groupware and\or Office-Logic InterChange to filter out any messages that contain a 1 pixel font size.

 

To create a Content Filter in Office-Logic Groupware - From within the Office-Logic Groupware e-mail module, select Options\Edit Content Filters from the Menu Bar.

 

To create a Content Filter in Office-Logic InterChange - From the Office-Logic InterChange Monitor utility, select the Configure\Content Filters menu option.

 

 

Once the Content Filters utility appears, click on the Add button to enter a new content filter.

 

 

In the Phrase field, enter font-size:1px

In the Comment field, type a comment that describes what this content filter is for.

Click on the OK button to save your content filter.

 

 

The new content filter will be displayed in the window.  Click the Close button to exit the Content Filters utility.

October 22, 2010 - Can I log Chat sessions, and warn my users that they are being monitored?

Yes.  Office-Logic Groupware and Office-Logic Groupware Client Server Edition has added logging and disclaimer features to the Chat module.  Make sure that you are running the latest version of Office-Logic Groupware in order to utilize these features.

 

You will need to enable these features by editing your OL.INI file which is located in your Office-Logic GLOBAL directory (i.e. F:\LOGIC). 

 

In your OL.INI file, scroll down to the [Chat] section header and enter the following information.

Log=1 (Will enable the feature to log all Chat sessions on your system)

Notice= (Will place a disclaimer notice at the top of the Chat window when a user enters a Chat session)

 

An example of the OL.INI settings and sample disclaimer would look like this:

[Chat]
Log=1
Notice=The Company reserves the right to monitor, access, retrieve, read, and disclose all communications, files and information contained in the computer systems at any time. All data generated by and contained in the computer system is and remains the property of the company.

 

Daily Chat log files will be stored in the {LOG} directory off of the Office-Logic GLOBAL directory (i.e. F:\LOGIC\{LOG}

 

The format of the log file is:

Date Time, <username1>, <username2>, <username3>, Text entered in Chat session

<username1> is the user that typed this Chat entry.

<username2> and <username3> are users that are also included in this Chat session.

 

An example entry in the log would be:

10/22 09:47:40, JOE, MARY, STEVE, Mr. Smith is on line 6 for Steve.

 


 

September 24, 2010 - Can I force ALL local and internet e-mail to be archived?

The best way to archive ALL messages is to send all Office-Logic Groupware mail through Office-Logic InterChange and set up Office-Logic InterChange to archive mail (if not already enabled):

 

  1. Turn off direct delivery in Office-Logic Groupware (to send every message through Office-Logic InterChange) by switching to the GLOBAL user, select the User icon on the left side Module Bar, then select the Options\Global Configuration option.  Set DirectDeliver=0.

  2. Verify the Office-Logic InterChange archive is enabled by selecting Configure\Options\Archive. It will save every message that goes through Office-Logic InterChange.

    • If you want to be able to view the archive from a WebMail login (requires an Office-Logic InterChange user license), set the archive directory to something like D:\ARCHIVE\SMTP then create an Office-Logic InterChange LOCAL user whose directory is D:\ARCHIVE.

    • If you want to be able to view the archive from an Office-Logic Groupware user (requires an Office-Logic Groupware user license), set the archive directory to something like D:\ARCHIVE\MHS then create an Office-Logic Groupware user whose mail directory is D:\ARCHIVE.

    • Make sure the D:\ARCHIVE folder is not shared.  If the filesystem is NTFS, you could optionally enable "Compression" on the D:\ARCHIVE folder to save space.

  3. Verify Office-Logic Groupware archive is NOT enabled by switching to the GLOBAL user, selecting the the User icon on the left side Module Bar, then Options\Global Configuration.  Set the option ArchiveType=0.

 


 

September 10, 2010 - Can Office-Logic InterChange be configured to ensure SSL connections?

Yes. Office-Logic InterChange can be configured to force all connections to use SSL (Secured Socket Layer) encryption when users access their e-mail and calendars using the WebMail and WebScheduler interface. From the Office-Logic InterChange server, select the Configure\Options\Web menu. Check the option to Force all Web connections to use SSL. The default port for SSL is 443. Click OK to save your settings. Make sure that your SSL port (443) is configured on your firewall to redirect to your Office-Logic InterChange server. Once configured, all web connections to your Office-Logic InterChange server will use SSL encryption.

 

We are offering a special on Signed SSL Certificates.  With a signed SSL certificate, your users will not receive the message that they are connecting to an Untrusted Site and have to accept the unsigned certificate.  If you are interested, please contact our Sales department.

 


 

September 3, 2010 - Can I recover a record that was deleted in one of my databases?

Yes. Click on the Contacts icon located on the left side Office-Logic Module Bar. This will display a list of your Personal and Global Database files. Open the database file that you want to restore the deleted record by either double-clicking on the file name, or highlight the file name and click on the Open icon. Once the database file has been opened, Right-Click anywhere in the record field and select the Show Only Deleted option.

This will display a list of only the records that have been deleted in this specific database file. Highlight the record that you want to recover, right-click on that record, and select the
Un-Delete option.

Right-Click in the record field again and uncheck the
Show Only Deleted option.

 


 

August 27, 2010 - Does Office-Logic InterChange only use one White List to verify inbound addresses?

No, there is a Personal White List and also a Global White List within Office-Logic InterChange. The White List/Challenge Response technology is validated by the senders e-mail address. If the senders full e-mail address is in the recipients Personal White List or the Global White List then the sender will not have to validate their address with a challenge message, and their e-mail will be delivered directly into the receivers Inbox, as long as it passes the other SPAM and Virus filters.

If you are running the Office-Logic Groupware client, then it will also verify the senders address in the
recipients Office-Logic Groupware Personal Address Book and the Office-Logic Groupware Global Address Book, along with the Personal and Global White Lists.

There are added features within Office-Logic InterChange that you can configure to Allow or Block receiving e-mail by IP Addresses or whole domains. The system is designed to be extremely flexible while limiting the amount of maintenance required.

 


 

August 20, 2010 - Can I easily re-use a message that I need send out over and over again?

Yes. You might find that you have to send the same message out to the same or different people over the course of time. A weekly time-sheet reminder, or a client information form are examples of messages where the message text really doesn't change that much, yet you have to send out quite often.
 
Office-Logic will allow you to save messages into your Drafts folder to be used over and over again. Once your message has been created and ready to be sent, click on the Cancel button located on the top right. You will see a Message Box appear stating that "Composed E-mail has not been sent. Save a Draft copy before exiting?" Click on the Yes button to save a copy to your Drafts folder.
 
Anytime that you need to send a copy of that message out again, simply open your
Drafts folder and double-click on that message. Make any necessary corrections to the To:, Cc:, Bcc:, Subject, or Message Body fields that require a change, and send your message out. You can easily remove keyword names and addresses from the To:, Cc:, or Bcc: fields by double-clicking on them. You can also use your mouse to drag keyword names and addresses between these fields.
 
To re-send a message that is not in your Drafts folder, Right-Click on the message and select the
Re-send option.

 


 

August 13, 2010 - Can I synchronize my Office-Logic data with a smartphone?

Yes.  We have several options for our customers that would like to access their Offiice-Logic email and synchronize their Office-Logic data with many different devices. 

 

Our SyncML Sync Service allows you to synchronize your Office-Logic calendar and contacts with any BlackBerry, iPhone*, iPad*, iTouch*, Droid, Android\Google or Palm (Web OS) enabled device through your Office-Logic InterChange Server.  SyncML Sync Service performs a direct wireless synchronization through the Office-Logic InterChange server.  You can access your Office-Logic e-mail using the e-mail client that comes on the device through your Office-Logic InterChange server.
 
* If you would like to synchronize your Office-Logic To-Do lists with your iPhone\iPad\iTouch, then you will need to use the Synthesis AG Todo+Cal+Sync client which can be purchased from the Apple App Store along with SyncML Sync Service.  If using the Synthesis AG Todo+Cal+Sync application to synchronize your Office-Logic To-Do lists, and you would prefer to use the native Calendar and\or Contacts applications on your iPhone\iPad\iTouch, then you will need to disable the Synthesis AG Todo+Cal+Sync client from synchronizing Calendars and\or Contacts. 
 
If you are not going to be synchronizing your To-Do Lists, and plan on use the native iPhone\iPad\iTouch Calendar and Contacts applications, then you do not need the Synthesis AG Todo+Cal+Sync application.
 
*** NOTE: If you are using the Synthesis AG Todo+Cal+Sync application to synchronize your Office-Logic To-Do lists, then you need to disable synchronizing your Calendars and\or Contacts from either the SyncML Sync Service or the Synthesis AG Todo+Cal+Sync application.  If you have both applications set to synchronize your Office-Logic Calendars and\or Contacts, then you will end up with duplicated data.

WAASUP Sync Agent (Web Access Agent Sync Uplink Program) allows you to synchronize your Office-Logic calendars, contacts, and to-do lists with any Windows Mobile, WindowsCE, or PocketPC device through the Office-Logic InterChange Server.  The WAASUP Sync Agent performs a direct wireless synchronization through the Office-Logic InterChange server.  You can access your Office-Logic e-mail using the e-mail client that comes on the device through your Office-Logic InterChange server.

Office-Logic Palm Conduit allows you to synchronize your Office-Logic calendars, contacts and to-do lists with any PDA device that supports the Palm operating system.  The Office-Logic Palm Conduit is installed on your workstation that has the Palm Desktop Software installed and also has access to your Office-Logic data files on your network.  You will be able to synchronize your Office-Logic data from your workstation.  You can access your Office-Logic e-mail using the e-mail client that comes on the device through your Office-Logic InterChange server.

July 23, 2010 - Can I easily send a message to a large list of e-mail addresses that I have?

Yes.  Office-Logic Groupware allows you to take a list of e-mail addresses from a text file or a spreadsheet, and use a single paste command on either the To:, Cc: or Bcc: fields to insert those addresses.  Click on the Compose icon in Office-Logic to bring up a Compose Message window.  Simply highlight all the addresses that you would like to use from your list and either right-click and select the Copy command, or use the <CTRL>+<C> keys to copy those addresses.  Then using your mouse, right-click in either the To:, Cc:, or Bcc: fields within Office-Logic and select the Paste command.  All of your highlighted e-mail addresses will be entered into the selected field.  You can also drag addresses between the To:, Cc:, and Bcc: fields.

 

If you plan on sending messages in the future to this same group of addresses, then it can be very helpful to create a Distribution List within Office-Logic.  Once you have all the addresses in either the To:, Cc:, or Bcc: field, click on the down-arrow icon located on the far right side of the To:, Cc:, or Bcc: fields.  This will bring up the Recipients window, and you will see all of your address in the appropriate field(s) on the right.  At the bottom of the Recipients window is an option called Save selected recipients to a distribution list called.  Enter a name for this distribution list and click on theSave button.  The distribution list will remember which addresses you have placed in To:, Cc:, and Bcc: fields, and use that same location in future mailings.

 

To select this distribution list in the future, you will need to click on the down-arrow when composing a message to bring up the Recipients window.  Click on the pull-down window in the Address Book field and select the All Distribution Lists option.  This will display a list of all your distribution lists.  Simply double-click on your distribution list name, and all your addresses will added to the appropriate fields.

 

If you do not want the recipients of these messages to see the other addresses, then you should enter all the e-mail addresses in the Bcc: field and leave the To: and Cc: fields blank.  Office-Logic will suppress the other addresses from being displayed to the other recipients.

Office-Logic Groupware now has a Client Server Edition that can simplify and enhance security, performance, and remote access needs. Along with all the features found in Office-Logic Groupware, the Client Server Edition has several new enhancements and advantages that are essential to many of our customers.

July 9, 2010 - Can Office-Logic Groupware append a disclaimer to all outbound messages?

Office-Logic has the capability of adding a disclaimer to the bottom of every outbound message. Change to the GLOBAL user, go to the e-mail module, select Options->Personality. Create a personality, such as "DISCLAIM". Create a RichText personality that contains the logo, text, etc. that you want on the bottom of RichText messages. Plain text messages will get the text but not the graphics. 

 

Once it is created and saved, edit the OL.INI file which is located in your LOGIC directory on the file server, and place the name of the disclaimer, in this case "DISCLAIM" in the following field:

; create a global personality and place name here

GlobalSignature=DISCLAIM

Yes, you can adjust the margins when printing an e-mail in Office-Logic.

 

If the e-mail is a Plain-Text message:

Right-Click within the body of the e-mail message, and select the Print... option.

Adjust the margins to align your printed e-mails the way you would like, and click the OK button to save your settings.

 

 

If the e-mail is a Rich-Text (HTML) message:

Right-Click within the body of the e-mail message, and select the HTML Page Setup option.

June 11, 2010 - Can I have Office-Logic mark my messages as READ only when I open the message?

When you highlight a message that is located in your Inbox, and you have the Preview Window feature enabled, it is possible that Office-Logic will change the status of that message from UNREAD to READ after a specific amount of time.  Like most things in Office-Logic, this behavior can be modified to fit the users needs.

 

Open Office-Logic and go to your E-mail.  Select the Options\Configure... option which is located at the top of Office-Logic on the Menu Bar.  Towards the bottom of the Email Configuration window, you will see the following option:

 

Seconds before pre-viewed message marked read (0=never)

 

In order to have Office-Logic only mark your messages READ when you actually open the message, then it would best to set this option to 0 (zero).  This will prevent Office-Logic from changing the status of messages in your Inbox that have been displayed in the Preview Window.  

 

If a message in your Inbox has a Read Receipt request, then setting this option to 0 will also prevent Office-Logic from inadvertently sending the Read Receipt back to the sender until you actually open the message.

May 28, 2010 - Can I receive my Office-Logic Phone Messages when I am away from the office?

Yes.  Office-Logic Groupware allows the user to receive their new Phone Messages as an e-mail or text message on their cell phones, as well as within Office-Logic Groupware, so they can be notified when they have a new phone message from any location.  Since the user has control over this feature, they control when and where to send their phone messages instead of the person who is taking their message. 

 

To setup this feature in Office-Logic Groupware, open the Phone Message Center module and select the Options\Configure menu option.  From the Phone Message Configuration menu, Check the box to enable the Send copy of all phone messages to email address: feature.  The user can easily toggle this feature on and off as needed.  Enter a valid e-mail address to send a copy of your phone messages to.  To receive your phone messages as a TXT message, you will need to enter an address that is supported by your cell phone provider.  As an example, a Verizon customer can enter their phone number followed by @vtext.com, or [email protected].   Of course, you must have a plan that supports text messaging, and normal text message pricing applies. Click the OK button to save your settings.

 

Here is a list of the most common cell phone provider e-mail addresses (domains) for sending an e-mail message as a text message to your cell phone.  Replace "phonenumber" with your cell phone number.  If you have a problem receiving a text message, then please contact your cell phone provider to verify their addressing format:

May 21, 2010 - Office-Logic allows users to Share and Overlay multiple calendars

The Personal/Group Scheduling modules in Office-Logic Groupware and Office-Logic InterChange allow users to overlay multiple calendars onto their own personal calendar. 

 

To enable this feature in Office-Logic Groupware:

From within Office-Logic Groupware, open  the Scheduler module to display your calendar.  

 

First, the user who wishes to share their schedule with other users must enable this option and select the users that will be allowed to overlay their calendar.  Click on the Options\Sharing menu item and select the appropriate "Allow these users" or "Allow all" option.  Next the user who wishes to overlay another user's schedule onto their own calendar must enable this option from the Options\Sharing menu.  The user will select which schedules to overlay on their calendar by selecting the appropriate user/calendar under either the "Overlay these calendars on my schedule" or the "Overlay and share these calendars on my schedule" options.

 

The "Overlay these calendars on my schedule" option will display that calendar on your schedule.  The "Overlay and share these calendars on my schedule" option will display that calendar on your schedule and also on anyone else's calendar that has your calendar overlaid on theirs.  As an example:

  • User1 enables the sharing option to allow User2 to overlay their calendar.

  • User2 selects User1 under their "Overlay and share these calendars on my schedule" option.

  • User1's schedule is now overlaid onto User2's calendar.

  • User2 then gives permission to User3 to share their calendar.

  • User3 selects User2 under their "Overlay these calendars on my schedule" option.

  • User3 will now see the schedules for both User2 and User1 displayed on their calendar, although User1 never gave permission to User3.  Be careful how you use these options.

To enable this feature in Office-Logic InterChange:

For Office-Logic InterChange users, log into your account using the web interface.  Office-Logic InterChange users must click on the Scheduler icon to display their calendar.  

 

First, the user who wishes to share their schedule with other users must enable this option and select the users that will be allowed to overlay their calendar.  Click on the Share icon and define which users will have permission to overlay your calendar under the "Allow specific users to OVERLAY your calendar".

 

Next, the user who wishes to overlay another user's schedule onto their own calendar must enable this option from their Sharing menu.  The user will select which schedules to overlay on their calendar by selecting the appropriate user/calendar under either the "Overlay these calendars on my schedule" or the "Overlay and share these calendars on my schedule" options.

 


 

May 14, 2010 - Can I set password requirements for my users?

Yes.  Office-Logic Groupware and Office-Logic InterChange will allow the administrator to set requirements for user passwords.

  1. The minimum number of characters required in all users passwords.

  2. User passwords require at least one non-alphabetic character.

  3. Require users to set a password. (Office-Logic Groupware Only)

  4. Require password to be changed after the specified number of days. (Office-Logic Groupware Only)

 

The Minimum number of characters required in user password option allows the administrator to set the minimum length of the passwords that users can set.  The Non-alpha characters required in user password option allows the administrator to force users to use at least one character other than A through Z for higher password security.  The Require password to meet above password requirements before user can login option forces Office-Logic Groupware users to have a password.  Passwords are required for Office-Logic users to be able to access their e-mail and calendars remotely through the Office-Logic InterChange WebMail and WebScheduler interface.  The Require password to be changed after the specified number of days option forces the users to change their passwords on a regularly timed basis. Some security experts believe that forcing users to change their passwords reduces security.  Users that have to change their passwords frequently have a tendency to write their passwords down in obvious places in order to remember them.

 

To set these options in Office-Logic Groupware:

Switch to the GLOBAL user and select the User module located in the left side Module Bar.  Once in the User\Group Maintenance module, click on the Options\Global Configuration option. This will bring up your Global OL.INI file.  You will need to set or enable the following options which are located under the [LOGIC] section header.  In the example below, the administrator is setting a minimum number of characters to 6, forcing at least 1 non-alpha character, forcing Office-Logic Groupware users to create a password, and requiring that Office-Logic Groupware users change their passwords every 30 days.

Minimum number of characters allowed in a user password.

User password requires  at least one non-alphabetic character.

 

Click on the OK button to save your settings.

 


 

May 7, 2010 - What are the little red and blue arrows on the message list view?

When looking at your list of e-mail messages, you may notice that there is a RED and/or BLUE arrow(s) on the envelope icon next to some of your messages.  The RED arrow is an indicator that this message has either been replied to or forwarded by you.  The BLUE arrow indicates that the message was sent to you with a read receipt request by the sender.

 

Office-Logic Groupware allows you to configure how messages that have requested a Read Receipt are handled.  Within the Office-Logic Groupware e-mail module, select the Options\Configure menu and click on the Read tab.  There is an option called Return Read Receipt: which has a pull-down window.  Your options in the pull-down window are:

  • Never send a read receipt

  • Always send a read receipt

  • Ask before sending a receipt

Many of our Office-Logic customers wanted the option to either "Never send a read receipt" or "Ask before sending a receipt" because they find read receipt requests as an invasion of privacy.  The "Ask before sending receipt" option will display an option to either send or not send the read receipt when the message has been opened.

 


 

April 30, 2010 - Office-Logic Groupware Chat feature now supports multiple user sessions

Office-Logic Groupware has updated the Chat feature to allow multiple users to join the same chat session. Office-Logic Groupware will support up to 10 users within the same conversation, with each user's comments easily distinguishable by different assigned colors. The new Chat interface also makes it easy to see which users are available and then select the users you want to invite to your Chat session. Other new features within Chat include:

  • Chat uses single conversation window instead of separate areas for each user.

  • Chat can be configured to automatically answer without showing caller.

  • Available Office-Logic users will have their user names displayed in BOLD.

  • Chat shows time of last missed call.

  • Chat automatically retries when locating user.

  • Chat plays inbound and outbound message sounds.

  • Chat can display a Global Notice warning users that their conversations may be monitored.

You can change the warning message and you can enable logging (if it is not on) by changing the OL.INI settings:

April 23, 2010 - What is the difference between the Sent Items and Archive folders?

The Archive option saves a permanent copy of your outbound messages into Yearly {YYYY} or Monthly {YYYYMM} mailboxes under the Archive mailbox tree structure. The Sent Items feature keeps a temporary copy of your outbound messages for a configured number of days and then removes them from the Sent Items folder automatically. The Sent Items folder allows users to view or save their outbound messages even if they have inadvertently turned off the Archive option.

 

With the Office-Logic Groupware Sent Items folder, a copy of all outbound messages that you send are stored in the Sent Items folder for a configured number of days, whether or not you have the Archive option enabled. The default number of days messages are kept in the Sent Items folder is 10 days. You can change the number of days messages are kept in the Sent Items folder by selecting the Options\Configure option located on the Menu Bar while in the Office-Logic E-mail Module. Change the number of days on the Days messages stay in Sent Items option. Click on the OK to save your settings.

 

 

To turn on Archiving in Office-Logic Groupware, click on the Compose icon on the Tool Bar to bring up an e-mail compose window. Select the Archive option located under the Subject line. This option will stay on once it has been selected until it is manually turned off.
 

 


By default, archived messages are stored in Yearly {YYYY} mailboxes. To sort your Archived messages into Monthly {YYYYMM} mailboxes click on the Options\Configure option located on the Menu Bar while in the Office-Logic E-mail Module. Select the option Archive to monthly boxes and click on the OK button to save your settings.  Archived messages stay in their Yearly or Monthly mailboxes forever, or until they are manually deleted.

 

The Archive and Sent Items features in Office-Logic Groupware are for the users' benefit in keeping out bound messages that they send. 

 

The Archive option is either turned on by the user or it is forced on by the administrator in the configuration file.  If forced on by the Administrator, then the user cannot turn Archiving off.

 

When a user sends a message, a copy of the sent message is:

  1. Put in the Sent Items mailbox (Temporary)

  2. If the Archive option is enabled

    • Put in the Archive\{YYYY} submailbox if the Archive to monthly boxes option is not enabled (Permanent)

    • Put in the Archive\{YYYYMM} submailbox if the Archive to monthly boxes option is enabled (Permanent)

  3. The user can also save a copy of a sending message to any of their mailboxes selected in the folder pull-down (at the end of the Subject line) as part of the sending process (Permanent)

 

Inbound messages are typically sorted to other mailboxes from the Inbox for long term retention and retrieval.

 

The above procedure does NOT have any bearing on the Archiving capability of Office-Logic InterChange or Office-Logic Groupware for message retention through the Global Archiving capabilities. The Office-Logic InterChange Archiving is controlled in the Office-Logic InterChange Configure\Options\Archive menu tab, while the Office-Logic Groupware Archiving is controlled by the OL.INI file settings.

These two mechanisms work independently by default. While the Office-Logic InterChange Archive is ON by default, Office-Logic Groupware Archiving is OFF by default. Office-Logic InterChange will save a copy of all inbound and outbound messages that go to or from the Internet. Office-Logic Groupware Archiving will save a copy of all Office-Logic Groupware originated messages whether they are sent to internal users or ultimately go to the Internet. Used in combination, they will keep a copy of ALL messages that pass through the system.

 

*** The one exception is if you have Office-Logic Groupware configured to access additional POP3 accounts from outside servers.  Having Office-Logic Groupware POP mail from an external mail server bypasses messages coming in through Office-Logic InterChange, and is NOT recommended.  This method is both a security issue and data retention issue.

 


 

April 16, 2010 - What is the difference between using the FORWARD and REDIRECT option for e-mail?

If you need to send a message that you received to other users, which option would be best, the FORWARD or the REDIRECT?

 

The FORWARD option sends a copy of the message, but it replaces the original senders information or FROM address with your own.  The REDIRECT option will send a copy of the message, but it retains the original sender information.  Why would this be important?  If I wanted to send a copy of a message that I received to another user, but did not expect that user to reply to the original sender, then I would use the FORWARD option.  If I was sending a message to another user and expected that user to reply to the original sender, then I would use the REDIRECT option.

The FORWARD option allows you to add or edit the message body before sending.  A REDIRECT will NOT allow you to add or change the Subject or Message Body of the original message.  The original message is redirected to the new address without your comments.

 

A REDIRECT is also very helpful if you are sending a message to another account for you to access remotely, such as a POP account.  You would want to use the REDIRECT so you would know who the original message came from.  If you were to use the FORWARD option, all those message would  contain your address in the From: field, instead of the original senders.

 

The FORWARD and REDIRECT options are available when creating rules to help manage your Office-Logic mailboxes.  When creating a rule, there are also two new options that can be very helpful when forwarding or redirecting messages to accounts that will be accessed by a cell phone or PDA device.  These new options are the FORWARD to small device and the REDIRECT to small device. The FORWARD and the REDIRECT functionality work the same as described above, however, these new options will only send the subject of the message and the first 200 characters of the message body.  This can be very nice when sending to accounts that have limited space available or for devices that can sometimes be cumbersome when reading large messages such as a cell phone.

 


 

April 9, 2010 - Can I create an Auto-Reply message when I am on vacation?

Yes. Options\Rules is where you setup an auto reply for out of office messages. When an Auto-Reply rule is setup, every message that meets the Include Condition(s) will be sent a message, but only one message per day, per e-mail address. Be advised that the rules must be processed by the workstation of the user for inter-office messages unless Office-Logic Host (OLHOST32.EXE) is setup and configured on one of your machines in the office. Office-Logic InterChange will process rules for messages from outside of the office.

Creating an Auto Reply in Office-Logic Groupware or Office-Logic Groupware Client Server Edition:

From within the Office-Logic Groupware E-mail module/window, select Options\Rules from the Menu Bar. From the Rules menu, click on the New button to create a new rule. Give the new rule a name such as Vacation. Select New Messages in the Process field, and make sure that the Enabled option is checked. If you want this rule to process against all new messages, then leave the Include and Exclude Conditions fields blank. Otherwise, you can limit this rule to specific messages by entering defined conditions in these fields. In the Actions field, use the pull down window to select Auto reply. Press the button to the right of this Actions field to enter the text of your Auto-Reply message. Click on the OK button to save this rule. You can easily Enable and Disable a rule as needed by toggling the Enabled field at the top of the rule.

Log into your WebMail account within Office-Logic InterChange. Click on the Rules icon listed on the top Tools Bar. Click on the Add button to create a new rule. Check the box to make this new rule active. Give the new rule a name such as Vacation. If you want this rule to process against all new messages, then leave the Include and Exclude Conditions fields blank. Otherwise, you can limit this rule to specific messages by entering defined conditions in these fields. Click the Add button next to the Rule Actions window. Enable the Automatic Reply option listed at the bottom of the menu, and enter the text you would like to send in your reply message in the window display to the right. Click on the Save button to save your rule.

 


 

April 2, 2010 - Adding Signature(s) within Office-Logic

To create a new signature in Office-Logic: From the E-mail Module, select Options\Personality\New.  Select a name for the new Personality (e.g., DEFAULT).  Enter the signature information that you want appended to the bottom of your messages.  Close the Personality window and select SAVE.  You can create many different signatures, and select the one that is appropriate for the person you are sending your message to.  When composing a message, use the Personality pull down menu to select which signature to use for that message. Office-Logic will remember the last Personality that you selected and will continue to use that Personality until a different one is selected.

 

Make sure the Signature check box is selected if you want this signature to automatically be appended to the bottom of your message.  The Personality window and Signature check box are sticky options and will remain enabled/disabled until manually changed by the user.  

 

If you prefer to enter your signature in a location other than the bottom of the message, then uncheck the Signature check box option and use the Sign icon on the Tool Bar. The Sign icon will insert your signature, for the Personality that you have selected, at the location of your cursor in the message. You can also use the <CTRL>+G keys to insert your signature at the cursor location. This option is very useful when replying to messages that have your comments at the top.   

 

If you would like the signature to be appended to the bottom of your message as well, then make sure that the Signature option remains checked.

 


 

March 26, 2010 - I received an e-mail message with a WINMAIL.DAT file that I cannot read.

The e-mail message containing the WINMAIL.DAT file was sent from Outlook, which uses a non-standard method to encapsulate attachments and other message formatting into a TNEF file. Office-Logic and many other e-mail clients follow industry standards for Internet mail and therefore would not recognize a Microsoft specific file.  You should advise the sender to change their Outlook settings to send in either the plaintext or HTML format.  To select the mail format in Outlook, the following should be done:

    1. On the Tools menu, click Options and then Mail Format.

    2. In "Send in this message format", click to select HTML or Plain Text.

Outlook also has the ability to tag individual e-mail addresses in its address book as capable of receiving this proprietary "Microsoft Rich Text" format.  Within Outlook, open the contact properties by double-clicking on the contact. Then right click on the e-mail address and select "Properties".  You will see an option "Always send to this recipient in Microsoft Outlook rich-text format". Make sure this option is not checked. 

 

If it proves difficult to have the sender adjust their settings to conform to industry standards, there are a quite a few programs  available that will view them. You can download one from

March 12, 2010 - Can I change the default fonts within Office-Logic?

Yes.  Office-Logic has made it easy to change the default font character type and size when either composing messages, reading messages, and message list displays.  From the e-mail module in Office-Logic, select the Options\Font menu.  This menu allows you to select the default font and size for the following areas:

  • Mailbox List 

  • Message List

  • Preview Information

  • Plaintext Messages

  • Richtext Messages

  • Message Header

  • Rule Display Messages

Changing the Richtext Messages default font and size is limited to composing messages.  When you receive a richtext message from another user, the richtext font that they used to create their message will be displayed in Office-Logic.  The text size for richtext messages that you receive are controlled by the text size setting in Internet Explorer. You will need to open Internet Explorer and select the View\Text size option. Select the appropriate text size setting (Smallest, Smaller, Medium, Larger, Largest). Exit Internet Explorer, and restart OfficeLogic

 

Changing the Palintext Messages default font and size will be displayed when composing and reading plaintext messages.

 


 

March 5, 2010 - Can I import my Outlook e-mail and address books into Office-Logic?

Yes.  From within the Office-Logic e-mail module, select the Options\Import menu option.  Your import options will be the following:

  • Address Book from ExpressIT!

  • Address Book from Outlook

  • Address Book from Outlook Express

  • E-mail from Outlook

  • E-mail from Outlook Express

  • E-mail from mailbox (MBX) files

  • Auto-complete e-mail addresses from Outlook

Many of our customers that have been using Outlook and Outlook Express for their e-mail have become more aware of  the vulnerabilities associated with data security and virus attacks targeted towards Outlook.  To limit the possibility of having their companies regular business activities disrupted by network performance problems or data integrity violations, many of our customers are mandating that their users not run Outlook or Outlook Express while connected to their networks.  

 

Our products are designed to limit the chances of these attacks from spreading, or allowing the end users from infecting their network environment.  Office-Logic allows the Administrator to limit what attachment types their users can receive, open, or even save.  Some of the other features found in Office-Logic that make it a more secure and safer client for our customers:

  • E-mail HTML Filtering - Automatically filters malicious and dangerous HTML code from e-mail before the message is displayed for the user

  • Images in E-mail suppressed before viewing. Many images include e-mail address verification back to SPAMMERS. Simply click a button to view images in messages.

November 13, 2009 -BlackBerry causes appointments to be deleted and sometimes send unwanted cancel notifications

The issue of sending old e-mails has been partially fixed by a modification to Office-Logic InterChange that inhibits "old" appointments from sending e-mail updates. If the user has configured the "Schedule days back to synchronize" within the Synchronization Options in Webmail/WebScheduler to more days than the BlackBerry is configured to keep (the default is 30 or 60, depending on which device), then the phone must also be configured to keep appointments longer than the configured days. This setting is in the Calendar application on the BlackBerry under "Options". Look for "Keep Appointments" and set it to a value greater than the "Schedule days back to synchronize" setting. It allows a setting of 15-, 30-, 60-, 90-days, and "Forever" to be selected. Setting it to "Forever" will allow the number of days back to be set by Office-Logic InterChange. Otherwise, the BlackBerry will take it upon itself to delete the old appointments and cause e-mail notification to be sent to attendees.

 


 

February 20, 2009 - Adding a Gmail e-mail Account in Office-Logic

You can set up Office-Logic to send and receive your Gmail™ e-mail.  Now you can access your Gmail e-mail using Office-Logic. Your administrator will need to define your setting in the Global User/Group Maintenance module.

Administrator steps:

  1. Login to Office-Logic as the GLOBAL user or switch to the GLOBAL user account. 

  2. Select the User/Group Maintenance module if it is not already on the screen. 

  3. Open the desired user account by either double-clicking the account or highlight the account and click on the Open icon.

  4. Click the Account button. 

  5. Click New

  6. Give the account a name in the Name: field. 

  7. Make sure the Enabled box is checked. 

  8. Select POP3 in the Type field drop-down control. 

  9. In the Server: field enter pop.gmail.com:995

  10. In the Account: field type your full email address (including @gmail.com)

  11. In the Password: field type your Gmail password

  12. Enter an Office-Logic mailbox/folder to use for accepting the mail e.g., "GMAIL". 

  13. Check the box Leave mail on server if you want to be able to access the mail from other locations or software besides Office-Logic. IF YOU FAIL TO CHECK THIS BOX, OFFICE-LOGIC WILL REMOVE THE MAIL FROM GMAIL! 

  14. Select OK

  15. Close the User edit dialog box by selecting OK and then close User/Group Maintenance.

 

User Setup:
If you want to SEND mail as the Gmail user, you will need to setup an Office-Logic Personality. See the TIP-OF-THE-WEEK Archive for November 03, 2006

  1. Check the box Use alternate e-mail address for this personality

  2. In the From: box, enter your full Gmail e-mail address, for example, [email protected] or [email protected]

  3. In most cases you should leave the Reply-to: blank. 

  4. Optionally, fill in the Signature field. 

  5. Close the window and select Save changes to e-mail personality

  6. Exit and restart Office-Logic.

  7. Enable POP in Gmail. Don't forget to click Save Changes when you're done. You're now ready to use POP with your Gmail address.

September 14, 2007 - What's In A Password?  Tips For Making Yours Safe And Easy To Remember

Like other secure systems, Office-Logic requires users to enter a user ID and password to gain access. Passwords protect your account and your information. So what’s in a password? Is it really secure? Could someone easily guess yours?

 

To change your password in Office-Logic Groupware, log in and select User/Group Maintenance. Then select Password from the top menu. Then select User. Enter your old password, your new password, and confirm your new password. Click OK

A secure password consists of a string as reasonably long as the system will allow (Office-Logic allows 10), consisting of characters selected from all those allowed by the system and in a manner that provides no redundancy – in other words, totally random selection. But we do have to be able to remember our password. 

 Tips for choosing a strong password you can remember include the following:

  • Use a mix of characters (alpha and numeric).

  • Do not use a word found in the dictionary.

  • Change your password from time to time and never share your password with anyone.

  • Use the first letters of a phrase that is easy for you to remember. For example, “My favorite vacation was Orlando in 04” (MfvwOi04) or “My daughter Stephanie is 14 years old” (MdSi14yo).

  • Write it on a piece of paper – but be sure to keep the piece of paper in a secure place, such as the back of your wallet or purse. Once you can remember the password, destroy the piece of paper you wrote it on.


 

August 17, 2007 - E-Mail Belongs To The Employer Not The Employee

Organizations need to take the first step to ensure that their employees or students have a clear understanding that the entire e-mail system belongs to the organization, and not the individual. There should not be any doubt to the individual that ALL content that is created, received, or stored on the organizations e-mail system is the sole ownership of the organization, and the employee has no right to its ownership or have an expectation of privacy.

There are steps that the organization or company needs to take to limit their liability against an employees abuse of their e-mail system. Some suggestions are:

  1. Establish written e-mail rules and policies.

    • In writing, define a clear set of rules and policies that explain how your e-mail system should be used, with specific guidelines to address corporate and personal e-mail, e-mail content, and proper e-mail etiquette.

  2. Educate all employees, from the part-time intern to the owner. 

    • Written e-mail policy coupled with an effective employee education program may help your organization defend workplace lawsuits and other risks.

  3. Address ownership issues and privacy expectations. 

    • Use your e-mail policy to advise employees that the e-mail system, including all content, messages and passwords, are the property of the organization. If you monitor e-mail (YOU SHOULD!), tell your employees. Let employees know they have no reasonable expectation of privacy when using the company's e-mail system.

  4. Address personal use. 

    • Use your policy to let employees know how much, if any, personal e-mail use is allowed. Be specific. Leave no room for individual interpretation. Remember, an employee's interpretation of "appropriate" personal use is likely to be significantly different from your own. Spell out exactly when, for how long, with whom and about what topics employees may communicate.

  5. Incorporate an overview of your sexual harassment and discrimination policies within your e-mail policy. 

    • Because of e-mail's relaxed, informal nature, some employees will put in writing comments they would never say aloud. Make sure employees understand that regardless of how a message is transmitted, an inappropriate comment is an inappropriate comment. All it takes is one offensive remark to land the employee or the company in trouble. Having an e-mail policy in place will help protect the company if any legal issues arise. Consult your appropriate legal advisors if you have any questions.

  6. E-mail creates a written business record that can be traced.

    • The employees need to understand that all e-mail correspondence and content is a reflection of themselves and the company in general. They also need to understand that e-mail content is not guaranteed to stay between the sender and receiver of the message. It is very easy for e-mails to be forwarded to others that the original sender may not have intended to share that information with.

  7. Enforce e-mail policy with a combination of monitoring and discipline.

    • Most industries require companies to keep a record of all e-mail correspondence that is stored in a searchable format. Whether your industry requires such a policy or not, it is in your best interest to have an Archiving policy in place. Office-Logic InterChange has built in Archiving features that make it easy to enforce such a policy. Office-Logic InterChange v4.x also has a feature to send copies of all user's sent and received mail to another user for monitoring. It is not only important to have an Archiving policy in place, but to make sure that all employees are aware that such a policy exists and is monitored. 

  8. Insist on employee compliance. 

    • Be sure every employee understands each e-mail policy and procedure and is clear on what constitutes appropriate and inappropriate use of the organization's e-mail system. Require each employee to sign and date a copy of every e-mail rule and policy, acknowledging that the employee has read, understands and will comply with the policy, or accept the consequences, up to and including termination. Create continuing education activities and tools to reinforce training and ensure e-mail rule and policy compliance.

 


 

June 8, 2007 - Use Logic-Safe to secure your PC when away from your desk.

Office-Logic Groupware has a feature called Logic-Safe that will allow you to enable your defined Windows screen saver quickly for when you need to step away from your desk.  It is always a good policy to ensure that your PC is secure when it is unattended, and Logic-Safe makes it easy.

 

First make sure that your PC is configured for a screen saver, and that it has a password defined.  From your Windows Desktop, Right-Click your mouse pointer in any open area (not on top any of your shortcut icons) and select the Properties option.  Go to the Screen Saver tab menu, and define which screen saver you would like to use.  Enable the On resume, password protect option.  Click the OK button to save your settings.

 

In Office-Logic, on the bottom Status Bar, you will see the Logic-Safe icon on the far right side .  To enable Logic-Safe, and secure your workstation with your screen saver, simply click on the Logic-Safe icon. 

 


 

May 18, 2007 - Make sure the links in your e-mail are going to where they say they will.

Many of your e-mail messages contain links that when clicked on will open your web browser and bring you to a specific location on the internet.  It is a common practice for the "Bad Guys" to trick people into clicking on these links that could  potentially collect personal information about you, or infect your environment with a virus or worm.

 

A Rich-Text or HTML e-mail message has the ability to disguise the actual location of the link.  As an example, you could see the words  Click Here in your message, and not be aware of exactly where clicking on this link will take you.  However, Office-Logic will display the actual link location on the Status Bar when you position your Mouse Pointer over the link in your e-mail message.  The Status Bar is located at the bottom left hand corner of your Office-Logic window.  The Status Bar option can be toggled On or Off in Office-Logic, so you will want to make sure that this option is enabled by clicking on the Options\Status Bar option located on the Menu Bar at the top of Office-Logic.

 

This feature is also helpful when you need to verify the actual link location if clicking on the link does not take you to the location you were expecting to go.

 

Messages that you receive in Plain Text format do not have the ability to disguise these links.  Any links within Plain Text messages are easy to see exactly where it will take you if selected.

 

It is a very smart practice to use the Status Bar to verify the link location before clicking on any link within an e-mail message.  If you are not sure that this is a safe link, then you might want to write down the link location that is displayed on the Status Bar and contact your Network Administrator.  It is better to be SAFE!!!

 


 

April 20, 2007 - How do I turn on the feature in Office-Logic InterChange to Detain Junk Mail?

Office-Logic InterChange has several layers of SPAM, or Junk Mail, protection. The first level of defense against unwanted Junk Mail is called Gray Listing. Gray Listing basically depends on increasing the cost of junk mail mail delivery by taking advantage of the current behavior of most "junk mail servers" in that they don't retry delivery of messages to servers that refuse the connection. 

The next level of junk mail defense is called White Listing, but is sometimes referred to as Allowed List/Challenge Response. Office-Logic InterChange will check the senders e-mail address in the following locations to verify that their address is legitimate:

  • Personal Allowed List 

  • System Allowed List 

  • Personal Address Book (Office-Logic Groupware customers only) 

  • Global Address Book (Office-Logic Groupware customers only) 

If the senders e-mail address is listed in one of the locations above, then Office-Logic InterChange will deliver the message directly to the users INBOX. If the senders e-mail address is NOT listed in one of the above locations, then the message is placed in your DETAINED folder and a Challenge Message is sent back to the original senders e-mail address to be verified.

To enable this feature in Office-Logic InterChange, you will need to go to the Configure\Options\Junk Mail menu. Check the box to enable the Enable detaining of junk mail (whitelisting) feature. You can also select the option to Allow individual users to enable/disable detaining of junk mail. This option will allow the users to change this feature under the WebMail\Options menu page. There is also a Users can view their detained folder option that you can enable.  Some of our school systems that offer Office-Logic InterChange e-mail accounts to their students did not want their users to see or access their Detained folder. Click the OK button in Office-Logic InterChange to save your settings.

Once you have enabled the features that want, go to the Configure\Users menu in Office-Logic InterChange. You will need to enable the Detaining of junk mail feature for either all your users or on a per user basis. Highlight the user name(s) that you want to enable the White Listing or Allowed List/Challenge Response feature and click on the Advanced button. You can highlight multiple user names at once and click on the Advanced button. From the Advanced options menu, check the Enable detaining of junk mail (whitelisting) feature box to turn on this feature. You can also enable or disable if these users should Send a challenge e-mail back to the sender or be able to view their Detained folder. Click on the OK button to save your settings.

April 13, 2007 - Should I disable the E-Mail Preview Window in Office-Logic Groupware?

If your Consultant / Network Administrator / Security Administrator / Guest IT Speaker / Conference  Speaker / Friend / Neighbor / or even Brother-In-Law tells you to turn OFF the Preview Window for viewing e-mails because it is not safe, what they are telling you is that they are a Microsoft Outlook bigot(1).  Any Microsoft Certified Egomaniac (MCE) will make that same claim simply because they know that the Preview Window in Outlook is truly NOT safe.  By their (MSoft) own design, Outlook has many vulnerabilities that spammers and viruses target.  Many of these attacks are executed by Outlook by simply displaying a message from within the Preview Window.

 

However, Office-Logic Groupware has taken several precautions to keep our users as safe as possible from these forms of attacks.  

  • First, Office-Logic Groupware does NOT run any embedded macros from the preview window, or even when an e-mail message is opened, as Outlook will do.  

  • Second, Office-Logic Groupware Sanitizes richtext (HTML) messages before the user either previews or opens the message.  Sanitizing the message is done by removing harmful code from richtext (HTML) messages that are designed to send personal information back to the "Bad Guys", install Spyware software, or execute a virus/worm.  These harmful codes are disabled before the message can be displayed, and does not change the appearance of the message.

  • Third, because Outlook is such a visible and prolific target for "Bad Guys", Office-Logic Groupware has stayed "below the radar" of these malicious attacks. 

Therefore, the viewing of messages from either the Preview Window or Opening A Message using Office-Logic Groupware is pretty safe.  Of course, you may still be vulnerable if you choose to view any pictures.  Hopefully you have Office-Logic InterChange to scan your e-mails for Bad Stuff before the messages are delivered to the users mailbox.  It is also highly recommended that your workstations and servers are protected by a reputable Anti-Virus solution such as Norman, McAfee, or Symantec.

March 16, 2007 - Can Office-Logic InterChange be configured to send only encrypted e-mail to specific domains?

By default, all e-mail that is sent from Office-Logic InterChange to a server that supports TLSSTART (SSL for SMTP) is sent encrypted using the TLS protocol.  Any message that is sent to a server that does not support TLSSTART is sent in plain text with no encryption. 

 

You can restrict mail from being sent to any server that does not support TLS based on domain names. In other words, if you want messages to be encrypted to GoodDomain.com and not sent if the server does not support TLS, then you can add GoodDomain.com to the list of security required servers.

 

To add domains to the list of security required servers, you will need to do the following:

  1. From your Office-Logic InterChange server, select the Help\Support\Explore application directory option.

  2. This will bring up Windows Explorer in your default Office-Logic InterChange directory.  i.e. C:\INTER

  3. Open the CLEAN directory, and then double-click on the SECURE.TXT file.

  4. This will open the SECURE.TXT file with Windows Notepad, or whatever application you have associated with TXT files.

  5. The SECURE.TXT file is a list of domain names that are required to use TLS or SSL for sending and receiving mail to\ from your Office-Logic InterChange server.  Each line contains a domain name or host name which can contain a wildcard * asterisk character.  Be very careful when using an *

  6. As an example:  If you want Office-Logic InterChange to only send and receive encrypted mail from domains LAN-ACES.com and GoodDomain.com then you will want to add the following domains on a separate lines in your SECURE.TXT file:

*LAN-ACES.com

mail.GoodDomain.com

 

  1. In the examples above, the *LAN-ACES.com has been added using a wildcard * character to only allow TLS encrypted communications from any domain that ends with LAN-ACES.com 

  2. Save your SECURE.TXT file and exit Windows Notepad and Windows Explorer.

 


 

March 9, 2007 - Make sure your Windows Servers and Workstations are ready for the new Daylight Savings Time?

As stated in our February 2, 2007 Tip-Of-The-Week article, Office-Logic products will not be effected by the new Daylight Savings Time changes, however, you will want to make sure that your Windows Servers and Workstations have been updated to handle the new date changes.

 

Important information on the Microsoft Daylight Savings Time update patch can be found on the Microsoft Support Knowledge Base, and identified as KB931836.  Click Here to view document KB931836.

 

You can check to see if your Windows Server or Workstation already has the Microsoft Daylight Savings Time update patch installed by the following steps:

  1. Open the Windows Control Panel.

  2. Double-Click on the Add Remove Programs utility.

  3. Make sure that the Show Updates option is enabled.  This option is usually located at the top of the window.

  4. Look for Update for Windows xxx (KB931836)

  5. If this update is listed then there is nothing more that you need to do.  If it is not listed, then please refer to the KB931836 document for instructions and download information for your operating system.

 

You will also want to make sure that your Windows Servers and Workstations are set to automatically adjust for Daylight Savings Time.

  1. Open the Windows Control Panel.

  2. Double-Click on the Date and Time utility.

  3. Click on the Time Zone tab menu.

  4. Check the box to enable the Automatically adjust clock for daylight saving changes.

  5. Click the OK button to save your settings.

March 2, 2007 - Can Office-Logic InterChange BLOCK all e-mail from specific regions?

Absolutely.  Most SPAM messages originate from regions outside of the Unites States, and many of our customers do not send or receive messages out of their own territories.  Office-Logic InterChange has the ability to block IP Address ranges that are assigned to specific regions of the world, and therefore will reduce the amount of unwanted SMTP traffic and SPAM from your e-mail server.

 

If you do not want to receive messages from a specific region, and do not anticipate any of your users traveling to those areas and attempting to send e-mail to your Office-Logic InterChange server, then you can do the following:

 

Copy and Paste some or all of the IP Address ranges into your BLOCKIP.TXT file located in your ..\INTER\CLEAN directory.

  1. From your Office-Logic InterChange server, go to the Help\Support\Explorer Application Directory.

    • This will ensure that you are in the correct location for your Office-Logic InterChange environment.

  2. Go to the INTER\CLEAN directory and then open the BLOCKIP.TXT file using Notepad.

  3. Copy and Paste the appropriate IP Address ranges listed below, exactly as shown, that you would like to block.

    • Using this method allows you to copy and paste the comments next to the IP Address ranges. i.e: ;APNIC (Asia)

  4. Save and exit your BLOCKIP.TXT file.

 

Or, you can enter the IP Address ranges directly into Office-Logic InterChange one at a time.

  1. From your Office-Logic InterChange server, go to the Configure\Lists\Block SMTP IP Addresses menu.

  2. This will display the Blocked SMTP IP Addresses window.  Click on the Add button to enter the IP Address ranges that you would like to block.

  3. The Edit IP Address Range window allows you to enter IP Address ranges one at a time.

    • Enter the beginning IP Address that you want blocked in the First IP Address field. i.e: 58.0.0.0

    • Enter the ending IP Address for that range that you want blocked in the Last IP Address field.  i.e.: 61.255.255.255

    • In this example, any IP Address between 58.0.0.0 and 61.255.255.255 are from Asia and will be blocked by Office-Logic InterChange.

  4. Click on the OK button to save your IP Address range.

  5. Repeat this procedure for the other IP Address ranges for that specific region, or all the regions listed above.

    • This method does not allow you to enter the comments about a specific range.

 


 

February 23, 2007 - Can I synchronize my Office-Logic Cardex files to my PDA device?

Not directly.  The Cardex module goes back to the early days of Office-Logic, and whose freeform format allowed data to be entered into its fields indiscriminately.  However, the Database module gives more control and flexibility over the data fields by using a record layout.  Additionally, the Database module allows printing, sorting, searching, and the ability to synchronize your data to PDA devices.  Office-Logic Databases can be synchronized to PDA devices that support the Palm operating system, PocketPC, Windows CE, and SyncML such as Blackberry.  To determine which synchronization product best fits your PDA device or needs, please contact either our Sales or Support technicians.

 

The Cardex files will need to be converted over to Database files in order to synchronize with your PDA device.

  • In Office-Logic, open the Cardex module and right-click on the Cardex to be converted. 

  • Select Export from the menu. By default, all lines will be marked for export.

  • Enter the location and file name for your export file in the Output File field.  It is recommended that the file end with .CSV.

  • Close the Cardex module.

  • In Office-Logic, open the Contacts module and click on the Create icon at the top to create a new Database.

  • Fill in the New Database Name and Description fields. Make sure that the Initial Database Layout field has Address Book highlighted.

  • Once the new database has been created, right-click on the new database name and select Import from the menu. 

  • You will be given the standard file selection dialog. Enter the name of the file used in the Cardex export and press Open

  • You will see a list of the Cardex fields on the right and the Database fields on the left. 

  • To line up the database fields, click and drag the fields into the correct order.

  • Mark the option Skip first text line and press OK.

Note: You may not have the same number of fields in both columns. The import will still be successful.  You may also need to edit the data in the Database fields depending on how the information was originally entered into the Cardex fields.

 


 

February 16, 2007 - How can I see which Office-Logic Palm Conduit licenses have been assigned to each user?

From Office-Logic Groupware, click on the User\Group Maintenance module icon located on the left side Module bar.  Once you are in the User\Group Maintenance module, click on the Options\Palm Licenses option located on the top Menu bar.  The Palm Licenses window will appear and display all the Office-Logic Palm Conduit serial numbers that have been installed and assigned to specific Office-Logic users.  

 

From the Palm Licenses window, you can delete any Office-Logic Palm Conduit serial number that has been assigned to a specific user and then assign it to another user.  The new user will need to install the Office-Logic Palm Conduit on their workstation that has the Palm Hotsynch Manager already installed and working properly, and has access to their Office-Logic files on the network.  During the installation, they will need the appropriate activation code for their Office-Logic Palm Conduit serial number.  Please contact our Sales department if you do not have the activation code available.

 


 

February 9, 2007 - Can I run a 30-Day Trial of Office-Logic Groupware Client Server Edition?

Yes.  The Office-Logic Groupware download includes the Client Server Edition.  If you are installing Office-Logic Groupware for the first time at a new location, then the 30-day trial will allow you to configure the Client Server Edition.

 

If you have a previous version of Office-Logic Groupware, version 7.x or earlier, then you can install Office-Logic Groupware v8.x on top of your existing Office-Logic Groupware files.  This will revert your earlier version of Office-Logic Groupware to a 30-day trial and allow you to try the Client Server Edition.  It is recommended that you have a current Updates, Support & Enhancement (USE) Agreement when installing an updated version of Office-Logic Groupware over an older version.  The USE Agreement entitles you to updated versions of Office-Logic Groupware at no additional charge.

 

If you are already running Office-Logic Groupware v8.x and would like to try the Client Server Edition, then please contact our Support Department for the necessary instructions on reverting your current setup to a 30-day trial.

 


 

February 2, 2007 - Do we need to do anything special to adjust for the new Daylight Saving Time?

Not anything "Special".  Office-Logic products will not be effected by the new Daylight Saving Time date changes. You may want to modify the Global scheduler appointments that correspond to the dates that DST is going to be changed (see below).  

 

During Daylight Saving Time, clocks are turned forward an hour, effectively moving an hour of daylight from the morning to the evening. Most of the United States has observed Daylight Saving Time from 2:00 a.m. on the first Sunday of April to 2:00 a.m. on the last Sunday of October.  Due to the Energy Policy Act of 2005, beginning in 2007, most of the United States will begin Daylight Saving Time at 2:00 a.m. on the second Sunday in March (March 11, 2007) and revert to standard time on the first Sunday in November (November 4, 2007).

 

To remove or modify these Global appointments, you will need to either log into the Global user, or switch to the Global user and open the Scheduler or WebScheduler module.

 

The Secretary of Energy for the United States will report the impact of this change to Congress. Congress retains the right to resume back to the 2005 Daylight Saving Time schedule once the Department of Energy study has completed.

 


 

January 26, 2007 - How do I get a signed Certificate of Authority for Office-Logic InterChange?

Before you obtain a Certificate of Authority, you must generate a server certificate for Office-Logic InterChange. From your Office-Logic InterChange server, go to the Configure\Options menu and select the SSL menu tab.  Fill in the information requested on the SSL form and click on the Generate New Certificate button.  

 

The SSL Generate New Certificate process in Office-Logic InterChange will create the files in the Office-Logic InterChange programs SSL directory (example: C:\INTER\SSL). This step can be skipped if you have already generated a server certificate for Office-Logic InterChange.

 

You will need to send a copy of the SERVER.CSR file located in the ..\INTER\SSL directory to the Certificate Authority, and they will return a signed certificate to you.

 

Copy the signed certificate returned by the Certificate Authority to a text file named SERVER.CA and place it in the ..\INTER\SSL subdirectory.

 

Restart Office-Logic InterChange.

 


 

January 12, 2007 - Can I disable or change the Sound Notifications in Office-Logic?

Yes.  The sound notifications in Office-Logic Groupware are configurable and managed under the Windows Control Panel - Sounds utility menu.  The Office-Logic Sound Notification files are stored on the users workstation under the 

C:\Program Files\Office-Logic directory.  Removing one or more of these files from this location will not disable the sound notifications because Office-Logic will automatically replace any missing files.  You will need to follow these steps in order to disable or modify the Sound Notifications:

 

  1. Click on the Windows Start button and select Control Panel.

  2. Open the Sounds or Sounds and Audio Devices utility.

  3. Click on the Sounds tab menu at the top to display the Sound Properties.

  4. Under the Program Events window, scroll down until you see the Office-Logic Sounds displayed.

     

    • Office-Logic Bulletin Notification

    • Office-Logic Chat Inbound Message

    • Office-Logic Chat Outbound Message

    • Office-Logic Chat Request

    • Office-Logic Email Notification

    • Office-Logic In/Out Notification

    • Office-Logic Phone Message Notification

    • Office-Logic Schedule Alarm

     

  5. To Disable an Office-Logic Sound Notification, you will need to highlight that specific entry in the Program Events window and then use the Sounds pull down menu at the bottom and select NONE.

  6. To Change an Office-Logic Sound Notification, you will need to highlight that specific entry like above, and use either the Sounds pull down menu to define a Windows pre-defined sound, or click on the Browse button to select the location of a different sound *.WAV file.

  7. By default, there is not a sound file associated with the Office-Logic In/Out Notification.  If you would like to use a sound notification for the In/Out Board option to notify you when another Office-Logic users status changes to IN, then you will need to manually define that sound file using the instructions above.

 

Disabling or Changing an Office-Logic Sound Notification will not alter the visual flashing icon notification associated with that sound.  There is not an option to disable the visual notifications within Office-Logic other than manually moving the icon to a less obvious location on your screen.


 

January 5, 2007 - I used to get a choice when closing Office-Logic to either Exit or Minimize?

By default, Office-Logic will inform the user when exiting that they will not receive notifications, and give them the option to Minimize, Exit, or Cancel.  This prompt also includes a Don't ask again option, which when selected will automatically exit Office-Logic in the future without displaying this option window.

 

 

Many users decide after selecting the Don't ask again option, that they prefer having this choice when exiting Office-Logic and would like the prompt to return.  In order to reset this option in Office-Logic, you will need to do the following:

 

  1. On the Menu Bar in Office-Logic, located at the very top, select the Window\Close All option.

  2. Then on the Menu Bar, select the Options\General Configuration option.

  3. The General Configuration menu window will be displayed.

 

 

  1. Check the Display warning box before exiting option, and click the OK button.

 

If you would like Office-Logic to automatically Minimize when clicking on the Windows X button on the top right instead of closing the program, then check the Minimize application instead of exiting option.

 

The General Configuration menu window is also where you can set Office-Logic to create a log file, which can be very helpful to our Technical Support Technicians if you are having an issue with Office-Logic.  To have Office-Logic create a log file, select the Enable file logging option.  Usually it is only necessary to enable this option if requested by one of our Support Technicians.

 


 

December 8, 2006 - Can I notify another user of an upcoming appointment that I have?

Yes.  Office-Logic will allow you to inform other users of an appointment that is listed on your Office-Logic calendar.  Open your Office-Logic calendar by selecting the Scheduler icon located on the left side Module Bar.  Right-Click on the appointment that you would like other users to know about, and select the Send Via E-mail option.

 

This will open an Office-Logic Compose Message window with appointment name listed on the Subject line, and the appointment details listed in the Message Body.  Simply enter the addresses for the users that you would like to know about this appointment in the To: field and click on the Send button.

November 10, 2006 - I know that the DETAINED folder is for SPAM, but how does it work?

When someone sends you a message, Office-Logic InterChange uses several mechanical methods to determine if the message is legitimate or simply SPAM. The last line of defense is Allowed List/Challenge Response. Depending on the version of Office-Logic InterChange and Office-Logic Groupware that you are running, the Allowed List may be referred to as White List.

 

Office-Logic InterChange will check the senders e-mail address in the following locations to verify that their address is legitimate:

  • Personal Allowed List

  • System Allowed List

  • Personal Address Book (Office-Logic Groupware customers only)

  • Global Address Book (Office-Logic Groupware customers only)

If the senders e-mail address is listed in one of the locations above, then Office-Logic InterChange will deliver the message directly to the users INBOX.

If the senders e-mail address is NOT listed in one of the above locations, then the message is placed in your DETAINED folder and a Challenge message is sent back to the original senders e-mail address. This Challenge message can be customized with your company logo and contact information that makes it clear that the user needs to verify their address before their original message will be delivered. Legitimate senders will need to click on a link in the Challenge message that automatically adds their e-mail address to your Personal Allowed List and releases their original message from your DETAINED folder into your INBOX. The sender will need to verify their address one time for each user that they are sending to on your Office-Logic InterChange system. Once the sender is added to your Personal Allowed List, their future messages will bypass the DETAINED folder and be delivered directly to your INBOX, unless of course the user removes that e-mail address from their Personal Allowed List or manually BLOCKS that address from future deliveries. 

Automated SPAM servers do not have the technology or the resources to release their messages from the Challenge Response message, and therefore the message stays in your DETAINED folder. Any messages that have not been released by the sender will be automatically deleted from your DETAINED folder in a configured number of days. The default setting is 10 days.

Users should really not have to manage their DETAINED folder. They should look in their DETAINED folder if they are expecting a message from an automated system, such as a Newsletter, Online Purchases, Online Billing Services, etc. If a user finds a message in their DETAINED folder that they would like to receive, then they should highlight that message and click on the ALLOW icon. The ALLOW option will add that senders e-mail address to your Personal Allowed List and move the message to your INBOX. Users that are running Outlook or an IMAP4 client to access their e-mail can manually move a message from their DETAINED folder into their INBOX. This will also add the senders address to their Personal Allowed List.

However it is highly recommend users DO NOT utilize the BLOCK option from their DETAINED folder. Any message that has not been released by the sender will automatically be deleted from your DETAINED folder. The BLOCK option should be used if there is a case where a message makes it into your INBOX that you do not want to receive in the future. If you need to BLOCK an address from your INBOX, then highlight that message and click on the BLOCK icon. The message will be deleted from your INBOX and that address will be added to your Personal Block List.

If necessary, users can manage their Personal Allowed List or Personal Blocked List by selecting Options\Edit Allow List or Options\Edit Block List.

Office-Logic Administrators can edit the System Allowed List from the Office-Logic InterChange server. Select Configure\Lists\System Allow List.

 


 

October 27, 2006 - Important Notice About Internet Explorer 7

Product(s): Doesn't specifically affect Office-Logic Groupware, Office-Logic Groupware Client Server Edition,Office-Logic Remote, Office-Logic I-Net but is related to ALL software.

 

This is an FYI that we felt was important enough to make sure our customers become aware.  Although we are not anticipating any compatibility issues between our Office-Logic products and Internet Explorer 7, we have become aware of some issues with products that utilize online services.  As an example, Internet Explorer 7 will disable Quickbooks Banking and Credit Card services.  The error message that Quickbooks gives does not specifically indicate that the problem is related to Internet Explorer 7, which makes troubleshooting the problem very difficult.  At the recommendation of Intuit (Quickbooks) technical support, uninstalling Internet Explorer 7 corrected this issue. Additionally, Internet Explorer 7 does not "play well" with programs when other browsers are installed such as Firefox. Internet Explorer 7 will cause you to experience problems anytime IE7 is NOT the default browser.

October 20, 2006 - Can Office-Logic not automatically send read receipt notifications back to the sender?

A message that has a Read Receipt request will be displayed in your message list with a BLUE arrow on the envelope icon.  A message with a Read Receipt request will send a notification message back to the sender that lets them know that their message has just been opened by you.  This of course does not necessarily mean that you have actually read their message.  Normally a Read Receipt will be sent whenever the status of the message has been changed to Read.  Opening a message will automatically change the status to Read.  However, simply highlighting a message in your list, that then displays in the Preview Window, can also change the message status to Read and send a Read Receipt.  

 

Many of our Office-Logic customers wanted the option to either "Never send a read receipt" or "Ask before sending a receipt" because they find Read Receipt requests to be an invasion of privacy. 

 

Office-Logic Groupware allows you to configure how messages that have requested a Read Receipt are handled.  Within the Office-Logic Groupware e-mail module, select the Options\Configure menu.  There is an option called Return Read Receipt: which has a pull-down window.  Your options in the pull-down window are:

  • Never send a read receipt

  • Always send a read receipt

  • Ask before sending a receipt

 The "Ask before sending receipt" option will display a window, whenever the status of the message has been changed to Read, with choice to either send or not send the read receipt 

 


 

October 13, 2006 - Protect your financial and other accounts from e-mail fraud messages (PHISHING).

We want you to be aware of e-mail scams that attempt to steal your personal and/or account information. Known as "Phishing", these scams consist of an e-mail that looks like it came from your bank or other financial institution (complete with the institution's logo) and usually takes an urgent or demanding tone. 

It is not the practice of most institutions to send (and you should NEVER respond or reply to even if it is) e-mail that: 

  • Requires you to enter personal information directly into the e-mail or submit that information some other way. 

  • Threatens to close or suspend your account if you do not take immediate action by providing personal information. 

  • Solicits your participation in a survey where you are asked to enter personal information. 

  • States that your account has been compromised or that there has been third-party activity on your account and requests you to enter or confirm your account information. 

  • States that there are unauthorized charges on your account and requests your account information. 

  • Asks you to enter your User ID, password or account numbers into an e-mail or non-secure webpage. 

  • Asks you to confirm, verify, or refresh your account, credit card, or billing information. 

  • While some institutions ask that you "Please report fraudulent e-mail that appears to have come from them", you should be careful that you go to their site independently of the any links that might be in the e-mail in question. Check their website for privacy policies and communication channels. 

The institutions that you communicate with should not share your information with any contacts outside of their firm but if they do, it should be in a manner consistent with their Privacy Policy. 

Some institutions are serious about helping protect you from Phishing, others are not so much. Some will aggressively evaluate any fraudulent messages you report. Some will work with law enforcement to pursue criminal activity, and provide information to help you become more aware of the issues.

October 6, 2006 - Can Office-Logic be set to Keep Mail On Server when POPing external mail?

If you have Office-Logic configured to POP internet e-mail for specific users, and would like Office-Logic to keep a copy of the mail it downloads on the external POP3 server, then you will need to set this option in Office-Logic.  It is also best to check with your POP3 provider to verify that they support the option to keep mail on server.

 

First, either Login as, or Switch to the GLOBAL user in Office-Logic.  Click on the USER module icon located on the left, which will display a list of all your defined users in Office-Logic.  If this view displays a listing of all your Groups instead of your Users, then click on the View icon on the top to change to the Users list.  Double click on the user name that you want to modify.  This will bring up the Edit User window. If the POP account information is listed on the main screen, then check the option at the bottom to Leave email on server.  If the information is not listed on the main Edit User screen, then click on the Accounts button located on the right. Select the appropriate POP account (if more than one is defined), and check the option to Leave email on server. Click the OK button to save your settings.

 

Of course, the best solution is to have Office-Logic InterChange accept your internet e-mail directly.  Office-Logic InterChange gives you complete control over your internet e-mail while protecting your network and users with the best SPAM and Anti-Virus protection available.

 


 

September 22, 2006 - Secure your mail server with strong passwords.

It is extremely important that you create abstract passwords for your user accounts in Office-Logic InterChange, or any mail server for that matter.  We have seen instances where SPAMMER's will attack mail servers searching for legitimate user names and passwords in order to seize control for the sole purpose of sending their SPAM out through that system.  As an example, they will send thousands of user name and password requests looking for matches to authenticate in order to use that system.  These requests use common user names like, MIKE, MARY, STEVE, CATHY, SUPPORT, SALES, INFO, etc., and will try to log in using a password that is either the same as the username, or common words like PASSWORD or SECRET.  Many sites will define passwords for the sake of ease, and this is exactly what the "Bad Guys" are hoping for.

 

Do NOT fall victim to these kinds of attacks, by using a password of INFO for user name INFO, or PASSWORD for user name SALES.  Once they get control of your mail server, they can send out millions of messages before being caught, and usually the result is that your mail server becomes BLOCKED by one of the SPAM database services.  This will then limit your users from sending out legitimate, business related e-mail.  It can be a real pain to clear your mail server from these lists.  So please don't make it easy for SPAMMERS, and make sure that your passwords are ambiguous and secure. 

 


 

September 15, 2006 - What is Reverse DNS Lookup, and do I need one?

Some internet mail servers, including AOL,  rely on using Reverse DNS Lookup to determine if the sending mail server is legitimate, and will reject any messages from mail servers that do not have one.  The theory behind using Reverse DNS Lookup is that all mail servers should have a Static IP address, and all Static IP Addresses should have a Reverse DNS Lookup entry.  A Static IP address does not change and is used as a consistent identifier for that computer by other computers on the internet.  So it might be beneficial if the IP address of your Office-Logic InterChange mail server has a Reverse DNS Lookup record.

 

A Reverse DNS Lookup entry is simply adding a PTR record to your DNS setup that defines the IP address of your Office-Logic InterChange mail server.

 

The PTR record entry can ONLY be created or changed by the ISP that owns that IP address.  Your other DNS entries may be controlled by your ISP or some other provider who you contact for making DNS changes.  But in the case of a PTR record, you MUST contact your ISP to setup or change your PTR record.

 

To see if your Office-Logic InterChange IP address already has a PTR record, you can use the Reverse DNS Lookup utility located at DNS Stuff, or contact your ISP directly.

 


 

September 8, 2006 - Can I setup mailbox quotas for my users?

Yes.  Through Office-Logic InterChange, you can configure mailbox quotas that will allow you to have more control of your disk space environment(s).  The mailbox quota limits are calculated during the Daily Cleanup, usually around midnight, or you can force a cleanup by selecting the File\Perform daily cleanup and quota re-calculation now option from your Office-Logic InterChange server.  

 

A user will be notified when they are getting close to their quota, when the users mailbox size is within the limits of the configured Warn when remaining space is (in MB) option.  If the user receives more mail and passes their quota limit, then another message is placed in their mailbox and any new internet mail is "soft refused".  This means that Office-Logic InterChange will give the sending server attempting to deliver mail to that user a "400-series" error message indicating a temporary problem. This allows the user time to clear some messages from their mailbox. Of course, the sending server will continue to try to re-deliver the message for whatever time (typically 72 hours) they are configured.  

 

The users should first try to clean out the Trash folder to get below their quota limit, and then remove other messages if needed.

 

Office-Logic Groupware users will still receive mail from other local Office-Logic users, but will not receive internet e-mail until their mailbox size is below the quota limit.

 

Office-Logic InterChange will allow you to set quotas for the following environments:

  • System Quotas - Quotas for ALL user accounts

  • Domain Quotas - Quotas for specifically defined domains

  • User Quotas - Quotas for individual user accounts that can be either increased or decreased from the configured System Quota

To configure System Quotas:

  1. From your Office-Logic InterChange server, select the Configure\Options menu, and click on the Receive tab menu.

  2. Check the box to Enable mailbox storage limit for all users and domains.

  3. Enter the mailbox quota limit in the Maximum mailbox space per user (in MB) field. i.e. 50 MB

  4. Enter a value in the Warn when remaining space is (in MB) field.  This will send an e-mail warning message to the user, and display a warning message in the WebMail interface that their mailbox is about to reach the quota limit.

  5. Click the OK button to save your settings.

 

To configure Domain Quotas:

  1. From your Office-Logic InterChange server, select the Configure\Domains menu.

  2. If you already have a domain defined, then highlight that domain and click on the Edit button.  If you need to create a new domain, then click on the Add button.

  3. Enter the mailbox quota limit in the Maximum mailbox space (in MB) field.

  4. Click the OK button to save your settings.

 

To configure User Quotas:

  1. From your Office-Logic InterChange server, select the Configure\Users menu.

  2. Highlight that user(s) that you would like to either set mailbox quotas for, or to change their quotas to a different value from either the System or Domain quotas.  Once the user(s) have been highlighted, click on the Advanced button located on the right side of the window.

  3. Check the box Limit mailbox storage space to enable this option.

  4. Enter the mailbox quota limit in the Maximum mailbox space (in MB) field.

  5. Click the OK button to save your settings.

 


 

September 1, 2006 - I want a Pop-Up message to display on my screen when I get a specific message.

This can be accomplished by creating a Rule in Office-Logic.  The Rules Engine inside Office-Logic is extremely powerful, and will allow you easily manage inbound messages.  One feature in the Rules Engine will display a pop-up message on your screen when all the conditions for the rule have been met.

 

To create a Rule in Office-Logic:

  1.  From the Office-Logic E-mail Module, select Options\Rules... option from the Menu Bar.

  2. Click on the New button to create a new rule.

  3. Enter e unique name for this Rule in the Name field.

  4. In the Include Conditions section, click on the Add button.

    • The include Conditions allow you to have a rule process only messages that have specific data in one, some, or all of the following fields:

      Subject

      Sender

      Message Header

      Message Body

      Subject or Body

      To

      Cc

      Attachment

      Date

      Time

      Importance

      Return Receipt Requested

    • If you select any of the Conditions, then you will need to enter the information that you want the rule to look for in the Value field.

  5. The Exclude Conditions section allows you to set conditions to NOT process the rule.  As an example, you can have a rule that will display a pop-up message if the Subject field contains PARTY TONIGHT, but exclude the pop-up message if the Sender is BOSS.

  6. In the Actions section, click on the pull-down window to display the different Actions that this rule can process:

    Delete E-mail

    Move e-mail to box

    Print

    Play Sound

    Execute Command

    Detach Attachments To

    Save As File In

    Display Message

    Forward To

    Forward Subject + 200 Characters

    Redirect To

    Redirect Subject + 200 Characters

    Auto Reply

  7. To have Office-Logic display a pop-up message on your screen when the Include and Exclude conditions have been met, then select the Display Message action from the list.

  8. In the blank field next to the Action that you have selected, enter the information that you would like the pop-up message to display.  You can either enter the exact text of the message, or you can use Replaceable Parameters to display specific information.  Office-Logic will replace the parameter with the information that it receives from the actual message.  The replaceable parameters that Office-Logic allows are the following (All Lower Case):

    %s - Subject

    %f - From

    %d - Date

    %t - Time

    %m - Month

    %y - Year

    %o - To

    %n - Email Message File Name

    %r - Carriage Return (New Line)

  1. As an example, you can enter the following Action:

Message from %f %r Subject: %s %r Has been delivered to you on %d at exactly %t

 

When this Office-Logic rule processes a message, it will replace the parameters with actual data from the message, and pop-up a message on your screen that would look something like this:

August 25, 2006 - Can I use a word or phrase for a hyperlink when creating a message?

Yes.  It can be very helpful to use a descriptive Word or Phrase hyperlink in a message in place of the actual hyperlink address.  As an example, which statement in your e-mail message would be easier for the reader to understand:

1) Please Click Here for a map to our Office.

Or

2) For a map to our location, please click http://www.mapquest.com/maps/map.adp?searchtype

=address&country=US&addtohistory=&searchtab=home&formtype=address&popflag=0&latitude

=&longitude=&name=&phone=&level=&cat=&address=&city=houston&state=tx&zipcode=

 

Of course the first example would be easier for the reader and enhance the visual aspects of your message.

 

This feature is only available when composing a message in Office-Logic using Rich-Text.  You can only use the actual hyperlink address when composing a Plain Text message.  To enable Rich Text when composing a message in Office-Logic, click on the Richtext icon located on the Tool Bar.  Your Compose window will now display the Rich Text Tool Bar as pictured below.

 

 

While typing your message, highlight the Word or Phase that you would like to add a hyperlink to, and click on the Anchor icon located on the Rich Text Tool Bar.  You can also Right-Click on the highlighted Word or Phrase and select the Insert\Hyperlink option.

 

 

This will display a Hyperlink Utility Window.  Enter the hyperlink address in the URL field, and click on the OK button to save your setting.

 


 

July 28, 2006 - Why are there message files in my ..\INTER\OUT directory?

Message files in the ..\INTER\OUT directory are waiting to be delivered.  If message files are still in the ..\INTER\OUT directory for more than a few minutes, then Office-Logic InterChange was unable to deliver the message right away to the receiving SMTP mail server.  Office-Logic InterChange will try to deliver the messages stored in the ..\INTER\OUT directory for a total of 72 hours.  If the message could not be delivered within that 72 hour period, then the message file will automatically be removed from the ..\INTER\OUT directory.

 

You can view a listing of messages that have been rescheduled for delivery on your Office-Logic InterChange monitor display.  From your Office-Logic InterChange server, select the View\Outbound Queued Messages option.  A listing of all messages that have been rescheduled for delivery will be displayed at the bottom.  You can use this display to see message file name, when the next attempt for delivery will be, who the sender of the message is, and the subject of the message.  From this display, you can right mouse click on a message and have the following options:

  • View

  • Delete

  • Delete all from this sender

  • Re-try

Office-Logic InterChange uses the following schedule to resend messages.  The times :

  • 1st Re-try Attempt - 3 minutes after initial send

  • 2nd Re-try Attempt - 6 minutes after 1st re-try attempt

  • 3rd Re-try Attempt - 12 minutes after 2nd re-try attempt

  • 4th Re-try Attempt - 24 minutes after 3rd re-try attempt

  • 5th and remaining Re-try Attempts up to 72 hours - every 48 minutes after previous re-try attempt

If you need more information on why there was a delay in sending a queued message, then use the option to View the message to see who the message is addressed to.  You can then search your Office-Logic InterChange log files for that address to see what might be the cause of the delay.  You can access the current Office-Logic InterChange log file by selecting the Logs\Activity Log option.  If you need to view a previous days log file, then you can find them in your ..\INTER\LOGS directory.  The main Office-Logic InterChange log files will have an Inter-<date>.log naming format.  As an example, the log file for July 28, 2006 will be named Inter-20060728.log

Office-Logic InterChange, by default keeps 14 days of log files.  However, you can change this value under the Configure\Options\Logs menu tab to fit your needs.

 

If you need to display the files in your ..\INTER\OUT directory, then please be aware that the message files will have an MSG extension, while any message that has been rescheduled for delivery will have a matching file name with a CTL extension.  Any message files that do not have a corresponding CTL extension are either in progress, or have not been processed yet.

 


 

July 21, 2006 - What do I need to do in order to run another virus scanner on the PC running OL InterChange?

If you have another installed virus scanner that is running on the same workstation\server as Office-Logic InterChange, then you will need to configure the that virus scanner to EXCLUDE the ..\INTER\IN directory from any scans.  

 

When Office-Logic InterChange receives a new message, the message file is placed in the ..\INTER\IN directory where the internal Norman Virus Engine scans the message files for potential viruses.  Once the message file has been scanned by Office-Logic InterChange, the message file will be moved from the IN Directory and placed in the OUT directory for delivery.  

 

If the other virus scanner is not set to EXCLUDE the IN directory, then it will scan the message file before Office-Logic InterChange has a chance.  This will cause an overall decrease in performance within Office-Logic InterChange, and if a virus has been detected, the other virus scanner will not allow Office-Logic InterChange to access the message file and properly handle the processing. 

 

By excluding the IN directory, Office-Logic InterChange will be able to process all message files properly, while the other virus scanner will still protect your workstation\server if someone or something attempts to open those files at a later time.

 


 

July 7, 2006 - I have created a rule to move messages into a SHARED folder, but it puts it in a PERSONAL folder?

The concept of SHARED folders is strictly a feature of Office-Logic Groupware. This means that if the rules engine in Office-Logic InterChange processes the message before the rules engine in Office-Logic Groupware has a chance, then Office-Logic InterChange will place the message in a PERSONAL folder. 

 

Office-Logic InterChange does not (currently) utilize the SHARED folders and obviously LOCAL folders aren't usually accessible to the machine running Office-Logic InterChange. To prevent Office-Logic InterChange from processing the rule on these messages, and force the rule to be processed by Office-Logic Groupware, you must add an ACTION that is only processed at the workstation level by Office-Logic Groupware (i.e. Play a sound, Display a message, etc.).  

 

Office-Logic Groupware will then look to see if the folder exists as a LOCAL folder, if not it will look for a SHARED folder with the name specified, and if it not found it will look for a PERSONAL folder. If the folder does not exist in any of these places, it will create the folder as a PERSONAL folder.

 


 

June 30, 2006 - Can I send a voice message through Office-Logic?

Yes.  Office-Logic allows the user to easily create and send a voice message through e-mail.  This feature requires that you have a working microphone connected to your PC.  To use this feature:

  • Open your E-mail Module in Office-Logic and click on the Compose icon to create a new message.

  • Click on the Record icon located on the Tool Bar at the top.

  • A Record utility window will appear.  

  • Click on the Start button and talk into the microphone to record your message.

  • When you have completed your message, click on the Stop button.

  • If you would like to re-record your message, click on the Rewind button.

  • Once you are satisfied with your recorded message, click on the OK button.

  • This will attached your recorded message as a WAV file to your e-mail message.

  • Complete your e-mail by addressing your message, enter information on the Subject line, and type in any additional information that you would like to send into the Message Body.

  • Click on the Send button to have your message delivered.


 

June 16, 2006 - My Auto-Reply Rule does not always send the auto reply...  WHY?

Office-Logic has a very extensive Rules Engine that allows users to easily manage their e-mail in ways that best fit their needs.  One of the Rules features will send an Auto-Reply back to the sender when specific criteria have been met.  This can be All Messages, or you can use very detailed Include and Exclude conditions when defining a rule.  The Auto-Reply feature is extremely helpful when a rule is created that lets people know that you will be out of the office, whether on business or vacation.

 

However, Office-Logic is designed to ONLY send one (1) Auto-Reply to a specific address per day.  This is to prevent a Mail Loop, where two e-mail accounts with auto reply rules keep sending messages back and forth to each other.  A mail loop can cause a users mailbox to fill over their quote in no time at all, and nobody wants to have to go through their mailbox to delete thousands of unnecessary messages.

 

To prevent a mail loop, Office-Logic keeps a list of addresses that have been sent an auto reply from your account each day.  This information is stored in the LOGIC.RAR file for each user.

 

If you need to reset the addresses that have already received an auto reply for today, then contact your network administrator and have them delete the LOGIC.RAR file from your user directory:

 

  • For an Office-Logic user - The LOGIC.RAR file will be located in the users LOGIC\<username> directory on the file server.

  • For an Office-Logic InterChange (Local User) - The LOGIC.RAR file will be located in the C:\INTER\USERS\<username> directory on the Office-Logic InterChange server.

June 9, 2006 - Will having a backup secondary mail server DNS entry improve redundancy for receiving mail?

Absolutely not!  Having a "backup" server will increase the amount of junkmail you receive tremendously without providing much  in the way of redundancy.  With only Office-Logic InterChange as the mail server, when it is not available, the sending server will  queue the mail and retry for 72 hours.  Most mail servers, including Office-Logic InterChange, return a message to the sender in  some reasonable period of time (usually about 4-, 24-, and 48-hours) informing the sender that it could not deliver mail.  If, at the  end of the 72 hours, the mail server is still not available, it will return a message to the sender so they know you didn't get it.  This avoids them assuming you got it and are just ignoring them.  With the secondary server somewhere else, the sender makes the reasonable assumption, your server received the message and therefore you received it.

 

The secondary server (lower priority MX record) is used by a lot of junkmail servers as the primary target for messages to a domain because they know that most secondary servers are less protected than the primary, or use store-and-forward to deliver messages.  This process will bypass the Grey List and White List\Challenge response SPAM filtering technology that is built into Office-Logic InterChange, therefore allowing more SPAM messages to make it to your users.

 


 

May 26, 2006 - When I click on the Compose button, nothing happens... WHY?

If you click on the Compose icon, and Office-Logic appears to be locked-up, it could be that the Compose window is positioned off the monitor screen.  This can happen by the user accidentally dragging the Compose window off the screen, or in some cases when multiple monitors were once used, and now there is only one.

 

The first thing that you should check is the Windows Task Manager to verify that Office-Logic is running properly.  Windows Task Manager displays the status of applications that are currently running on your workstation.  Depending on your Windows operating system, to start the Windows Task Manager, hit the <CTRL>+<ALT>+<DEL> keys simultaneously one time.  Either the Windows Task Manager window will appear, or your will need to click on the Task Manager button. 

 

If the Windows Task Manager shows the status of Office-Logic as Not Responding, then contact your Office-Logic  administrator and if the problem continues, have them contact our Technical Support department from the problem workstation.  The Office-Logic administrator needs to follow the Before Contacting Support check list located on our Support page before our technicians can help.  If the Windows Task Manager shows the status of Office-Logic as Running, especially if it appears as Office-Logic - (Compose Message), then it could be that the compose window has been displaced off-screen.

 

From Office-Logic, select the Window\Cascade option located on the top Menu bar.  This will cascade all the open Office-Logic module windows under the main Office-Logic desktop.  If the problem continues, then it could be that a utility window, such as the Recipients window has been moved off-screen.  To move a utility window back into view on your monitor, make sure that Office-Logic is the active application window, and hit the <ALT>+<Spacebar> keys simultaneously.  Then hit the M key for the Move option.  Use your arrow keys on the keyboard to move the window back into view.

 


 

May 19, 2006 - Why is it taking a long time for me to open my Trash folder?

Office-Logic Remote,  and Office-Logic InterChange (WebMail Interface)

 

The delay could be caused by the users Trash folder containing thousands of messages or some very large messages, and it is taking some time to build a list of those messages.

  • For Office-Logic Groupware, Office-Logic Groupware Client Server, Office-Logic Remote:

    • To keep the users Trash folder from getting too full, we recommend setting the Days message stays in wastebasket option which is located under the Options\Configure menu to a smaller value. The default is 10 days. 

    • Restarting Office-Logic will cause the Trash folder to be cleared as configured.

  • For Office-Logic InterChange (Local Users):

    • To keep the users Trash Folder from getting too full, we recommend setting the Days message stays in Deleted Folder option, which is located under the Options menu to a smaller value. The default is 10 days.

    • Logging in and out of the users WebMail account in Office-Logic InterChange will cause the Trash folder to be cleared as configured.

 


 

May 12, 2006 - Can I move some of my older e-mail to my local hard drive?

Yes.  Office-Logic Groupware and Office-Logic Groupware Client Server Edition will allow you to move e-mail messages off of your network LOGIC user mail directory, and store them in a different location, even your local hard drive.  This feature can be extremely useful if you have the need to free up disk space on your network drives, or to help you manage your Office-Logic mailboxes.

 

To setup your Office-Logic account to store e-mail messages in another location, you will need to do the following:

  1. Open your Office-Logic e-mail and select the Options\Configure option.

  2. In the Directory for Local boxes field, enter the location that you would like to store these messages.  As an example:

    • C:\EMAIL  -  This will allow you to store e-mail messages on your local hard drive.

    • F:\<username>\EMAIL  -  This will allow you to store e-mail messages on a different network location, where <username> is replaced by your Office-Logic user name.

  3. Click on the OK button located on the top right to save your settings.

  4. Close your Office-Logic e-mail window, and then open your Office-Logic e-mail window again to refresh your settings.

  5. You will now see a LOCAL mailbox\folder located in your Office-Logic mailbox window panel on the left side.

  6. Right-click on the LOCAL mailbox and click on the New Mailbox option.

  7. Enter a name for your new Mailbox\Folder in the New Box Name field, and select the Local option.

  8. Click on the OK button to save your settings.

  9. You can also create local Sub-folders by right-clicking on an existing local mailbox\folder and selecting the New Mailbox option.  

 

You will now be able to move e-mail messages to your new local mailbox\folder.

 

Many of our customers specify the location for their Local boxes to be a writeable CD drive, or USB Flash Pen Drive.  This allows them to move messages and store them on multiple CD's, DVD's, or USB Flash Drives that can easily be removed and stored in a safe location.

 

There are some limitations on storing messages in a location outside of your normal Office-Logic environment.

  1. You will not have access to your local mailbox\folders:

    • If you log into Office-Logic from a different workstation.

    • If using Office-Logic Groupware Client Server Edition from a different location.

    • If accessing your e-mail through the WebMail interface in Office-Logic InterChange.

    • If accessing your e-mail with an IMAP4 client through Office-Logic InterChange.

  2. Most likely your Office-Logic e-mail and data files that are stored in the normal Logic network environment are getting backed up on a regular basis.  The workstation or location that you are moving e-mail messages to a local mailbox\folder may not be setup for backups.  If something happens to your workstation, or if you have a hard drive crash, you may not be able to retrieve these messages unless there is a current and successful backup available.

  3. It is best to get approval from your Office-Logic Administrator that you are planning to store e-mail messages in a local mailbox\folder.  They will be able to select the best location to store your local mailbox\folder, and to ensure that it does not infringe on company policy.

 


 

April 28, 2006 - I can't see messages that were forwarded to my personal free service e-mail account.

Free or Public mail services, such as Hotmail, Yahoo, Google, MSN, AOL and NetZero, are unpredictable and unreliable with the way that they incorporate SPAM controls.  These services are designed to be overly aggressive in identifying messages that could be considered SPAM, usually without user controls or limitations.

Like everyone in the business world, SPAM is a huge problem for these services, especially in regard to the amount of bandwidth and disk space that is wasted by SPAM.  However, unlike a business environment mail system, such as Office-Logic InterChange, these services would rather be too aggressive in labeling a message as SPAM, and not be concerned about the amount of False Positive, or legitimate messages that might be getting blocked in the process.  Identifying SPAM using Content Filtering simply does not work.  As you are aware, there must be 15,000 ways to spell VIAGRA or MORTGAGE.  Now most people do not need to see e-mail messages that contain these words, unless of course it is someone who works in the medical or financial industries.  These free and public services do not customize their SPAM controls on a per account basis, and are designed to have general SPAM policies for everyone.  These services can also be very strict on receiving attachments.

If you are having trouble receiving messages or attachments into one of these free or public accounts, check their policies on SPAM control or contact their technical support for assistance.  Or if you are forwarding mail to these accounts for remote access purposes, then you might want to consider using Office-Logic InterChange.  With Office-Logic InterChange, you will have full, real-time access to all your Office-Logic e-mail, calendars, phone messages, to-do lists and personal contacts using any web browser.  There is no duplication of data or synchronization involved.  Office-Logic InterChange also offers remote access using WAP (Wireless Access Protocol) devices such as PDA's and cell phones, with IMAP and POP3 remote access available to your e-mail.

April 21, 2006 - Is there an easy way to move addresses between the To:, Cc:, and Bcc: fields?

Yes.  Office-Logic allows you to easily move e-mail addresses between the To:, Cc:, and Bcc: fields.  While either creating a message or replying to a message within Office-Logic, you can use your mouse pointer to click-and-drag e-mail addresses between the different addressing fields.  If you would like to move one of the e-mail addresses from the To: field into the Cc: field, then simply click on that address on the To: field and drag it to the Cc: field and release.

 

If you would like to Delete an e-mail address from the To:, Cc:, or Bcc: fields, then simply double-click on that specific address and it will be removed.

 


 

March 24, 2006 - Helpful hints when contacting Support about an issue that you are having.

  1. Make sure that you are running the latest version.

    • I know that everyone thinks they have the latest version, but we continually work on improving our products and make those updates available to our customers that have a current USE Agreement.

    • Verify the version that you have installed, and then check to see what the latest version is on our website.

    • If a newer version is available, and you have a current USE Agreement, then download and install the upgrade. If the upgrade is a version upgrade, then you will need to contact our Sales department to receive your upgrade activation code(s) at no additional charge as part of your USE Agreement.  A version upgrade would be if you are currently running Office-Logic Groupware v8.x and are getting ready to install version 9.x. 

  2. If the issue that you were having continues after installing the latest version, and you need to contact our Support department, then please make sure of the following:

    • If you are calling our Support department, then please be at the workstation/server or mailbox that is having the problem or have access to that system.

    • If the problem can be recreated, then have the necessary steps available in order for our Support technicians to be able to reproduce the problem.

    • If you are receiving an error message, then it is extremely important to supply our technicians with the exact and complete text of the error message.

    • If you need to send a problem e-mail message to our support department, then please do not forward or copy and paste the problem message. Our technicians will need to have a copy of the message with its original header information and properties.  It has to be the original message, and not the message that has been forwarded to another user or administrator.  From the users Office-Logic mailbox that contains the original problem message:

      • Find the problem message in Office-Logic and right-click on that message. Select the Send as attachment option which will automatically open a create message window and save the original message as an attachment. Address the message to [email protected] and make sure to give a complete description of the problem that you are having, along with appropriate contact information.

      • Your Company Name.

      • Customer Name if you are a Dealer or a Consultant for an Office-Logic customer.

      • Phone Number.

      • E-mail Address.

      • Product that you are having an issue with.

      • Description of the problem.

March 3, 2006 - Can the IN/OUT Board automatically log users in when they start Office-Logic?

Yes.  There is a configurable option in Office-Logic that will automatically mark a user as IN when they start Office-Logic, and automatically mark them OUT when they exit.  Open the IN/OUT Board module in Office-Logic, and select Options\Configure from the Menu Bar at the top.  There are several options available to the user on the In/Out Board Configuration window.

  • Group name to display.

    • Displays a list of Office-Logic users that have been defined to a specific Group within Office-Logic.

  • Seconds between screen updates.

    • Tells Office-Logic how often to check for updated In/Out information.  The default is 60 seconds.

  • Default minutes until return.

    • Sets the default minutes to display when you mark yourself as OUT.  This is only a default setting and can be easily changed each time.  The default is 60 minutes.

  • Select users by personal name.

    • This option will toggle between displaying either the users Office-Logic user name and their Personal name.

  • Color of IN users.

    • Change the font color when displaying the user name when that user is IN.

  • Color of OUT users.

    • Change the font color when displaying the user name when that user is OUT.

  • Automatically mark users as IN upon startup.

  • Automatically mark users as OUT upon exit.

The Office-Logic Administrator (GLOBAL) user can set some of these options as system wide defaults and not allow the users to change them.  To set these GLOBAL settings:

  1. Either log into Office-Logic as the GLOBAL user, or switch to the GLOBAL user.

  2. Select the User\Group Maintenance module by clicking on the USER icon located on the left Module Bar.

  3. Select the Options\Global Configuration option located on the top Menu Bar.  This opens the OL.INI file located in your Office-Logic Global directory (i.e. F:\LOGIC).

  4. Scroll down until you come to the [INOUT] Section Header.

  5. The following options can be configured as default settings by the GLOBAL user:

    Automatically mark user as IN upon entering program
    AutoIn=

     

    Automatically mark user as OUT upon leaving program
    AutoOut=

     

    Log file for all In/Out board activity to specified file

    Log=IO.LOG

    • This will create a log file called IO.LOG and be located in your Office-Logic Global directory.

     

    Minutes between polls for notification of returned users

    Poll=

    • This sets the number of minutes Office-Logic checks to see if a user is marked as IN to send a notification request.  The default setting is 2 minutes.

     

  6. The following settings are used to enable or disable the above features.

0 - Turns the option OFF and does NOT allow the users to manually enable.

1 - Turns the option ON and does NOT allow the users to manually disable.

2 - Turns the option OFF and ALLOWS the user to manually enable.

3 - Turns the option ON and ALLOWS the user to manually disable.

 

An example would be:

AutoIn=1

This enables the Automatically mark users IN option and does not allow the users to disable this feature.

 


 

February 10, 2006 - Why can't I see the dialog box window when I select a specific option in Office-Logic?

As in ALL Windows applications, sometimes an application window can accidentally be moved Off-Screen, and out of view.  You can move the mis-placed dialog box by getting to the point where you know that the window is open, press the ALT-Spacebar key combination, and then select the Move option.  You will then be able to use either your mouse or the arrow-keys to reposition the window back in view on your screen.  

 

Sometimes regular Office-Logic Module windows will get moved off screen and they can easily be recovered by selecting the  Window\Cascade option from the Top Menu Bar in Office-Logic.

 


 

February 3, 2006 - How can I force my cell phone to use smaller WML pages when accessing WebMail?

  1. Put Office-Logic InterChange into verbose mode by selecting Configure\Options and checking the Verbose Mode option located on the General tab menu.

  2. From your phone, browse to your Office-Logic InterChange WebMail Login screen.

  3. From Office-Logic InterChange, select the Logs\Activity Log option and search for where the phone requests a web page.

January 27, 2006 - How do I upgrade my Office-Logic Groupware to a newer release?

If you do not have a current Updates, Support & Enhancement (USE) Agreement, then please contact our Sales department before installing a newer release of Office-Logic over your existing version.

 

If you are installing a maintenance update to Office-Logic that is within the same version, and you have a current USE Agreement:

  1. Download the latest version of Office-Logic from our website, and save it to your desktop or other temporary location.  Do not save the download into your existing GLOBAL directory (i.e. F:\LOGIC), and make sure that you have sufficient rights or privileges to install the upgrade.

  2. Verify the location of your GLOBAL directory as seen from all your workstations (i.e. F:\LOGIC).  You can verify this information in Office-Logic by going to the Help\About Office-Logic option menu.

  3. Run the upgrade executable and install the update into your GLOBAL directory (i.e. F:\LOGIC).  You do not have to have your users exit Office-Logic to install the upgrade, and you will not need to re-enter your license activation codes.

  4. Once the upgrade has been installed, Office-Logic will automatically upgrade each workstation the next time that your users restart Office-Logic.

 

If you are installing a version 8.x or higher upgrade to Office-Logic version 7.x:

  1. If you have a current USE Agreement, contact our Sales department to receive your free product upgrade activation codes.  If you do not have a current USE Agreement, then installing a newer version of Office-Logic will revert your older version to a 30-day trial.  Contact our Sales department to renew your USE Agreement.

  2. Download the latest version of Office-Logic from our website, and save it to your desktop or other temporary location.  Do not save the download into your existing GLOBAL directory (i.e. F:\LOGIC), and make sure that you have sufficient rights or privileges to install the upgrade.

  3. Verify the location of your GLOBAL directory as seen from all your workstations (i.e. F:\LOGIC).  You can verify this information in Office-Logic by going to the Help\About Office-Logic option menu.

Run OLWORK.EXE from the LOGIC directory to install Office-Logic on the local workstation.  Answer the questions about the location of your LOGIC directory in relation to this workstation.  OLWORK.EXE will install the necessary files to the local workstation and setup the shortcut icons for the users to launch Office-Logic Groupware.  If the information is the same for all the other workstations, then you can run OLWORKU.EXE from the LOGIC directory.  OLWORKU.EXE is the unattended workstation installer that will use the default settings and not prompt you to answer any questions.

 


 

January 20, 2006 - My Office-Logic is not performing like normal, what should I try first?

First and foremost, it is always a good idea to make sure that you are running the latest version of Office-Logic to see if that corrects the issue.  If you are on a current Updates, Support & Enhancement (USE) Agreement, then verify the version that you are currently running by selecting Help on the top right Menu Bar, and clicking on the About Office-Logic option.  Then visit our website to see what the latest available version is.  If your version is older than what we have available, then download and install the update.  If you do not have a current USE Agreement, or your version is not in the same version class as the update from our website, then contact our Sales department.  As an example, a version class would be any version within v8.x.  If you are currently running v7.12, and our current available version on our website is v8.10, then you will need to contact our Sales department for new activation codes.

 

Sometimes, depending on the resources that are available on the workstation, having too many Office-Logic windows open at the same time could cause performance issues.   Office-Logic does not limit the number of modules or windows that a user has open at any given time.  A user can have several database/contact windows open, along with open e-mail windows, create e-mail windows, calendar windows, phone message center windows, etc.

 

A quick way to see exactly what windows are open in Office-Logic is to click on the Window option located on the top Menu Bar.  The bottom section of that display will show all the Office-Logic windows that are open.  You can manually click on each window and close them individually if they are not immediately necessary, or you can use the Window\Close All option to close all the Office-Logic windows at once.

 

The Windows option also allows users to organize their Office-Logic windows by using the Tile Vertically, Tile Horizontally, or the Cascade option.  The Cascade option can be very helpful if one of your Office-Logic windows has every been accidentally moved off screen.

 

If running the latest version of Office-Logic and closing all unnecessary windows does not correct the problem, then contact our Support department.

 


 

January 13, 2006 - I can't see the e-mail addresses from the database I created when addressing an e-mail?

When you create a new database in Office-Logic, the e-mail addresses will not be available for you to select when composing a new e-mail message unless:

 

  1. The database record layout must include the following fields exactly as shown in order for the e-mail addresses to be displayed:

    • KEYWORD 

    • EMAIL

    • DESCRIP

    • LAST

    • FIRST

     

  2. When you created the new database in Office-Logic, you should define the Initial Database Layout option as an Address Book.  The above fields will automatically be defined in this record layout, and your e-mail addresses will be displayed when you select that address book when addressing your e-mail message.

    • If this database is to be a Global database for all users to access, then you will need to switch to the GLOBAL user first.

    • Open the Office-Logic Database module by clicking on the Contacts icon on the left side Module bar.

    • Click on the Create icon on the top Menu bar.

    • The New Database Definition window will appear.

    • Enter the name of your new database, and a description.

    • It is recommended that the Initial Database Layout field has Address Book highlighted.

    • Click the OK button to save your settings.

    • To enter information in your new database, either highlight the name of your new database and click on the Open icon, or simply double-click on the new database name.  Click on the Create icon to a new record in your database.  Make sure to click on the Save icon to save each record.

     

  3. When creating your new database, if you selected the Empty (Define and place all fields manually) instead of the Address Book layout under the  Initial Database Layout field, then you will need to make sure that the five fields listed above are defined in your database in order for the e-mail addresses to be displayed.

 


 

December 9, 2005 - Can Office-Logic start without me having to enter my username and password?

You can add parameters to your Office-Logic shortcut icon that will bypass the login menu. Right click on your Office-Logic shortcut icon and select Properties. In the Target field, add a user= and pass= parameter at the end of the field. The user= parameter will contain your user name as it is defined in Office-Logic, and the pass= parameter will have your Office-Logic password. As an example, if the Office-Logic user name is RALPH and that users Office-Logic password is SECRET:

"C:\Program Files\Office-Logic\Office-Logic.exe" global="F:\LOGIC" user=ralph pass=secret

For security reasons, Office-Logic requires that the user have a password defined in order to use the user= and pass= automatic login parameters.

 


 

December 2, 2005 - Why am I getting a "Cannot execute WINZIP..." error when sending a message?

When sending a message with an attachment, Office-Logic has the option to automatically compress attachments before sending.  You are receiving this "Cannot execute WINZIP32.EXE ..." error message because the Compress Attachments (ZIP) option is enabled and WINZIP is either not installed on that workstation, or the location of the WINZIP32.EXE program is not listed in your System Path settings.

 

If you do not want Office-Logic to automatically compress attachments, then simply turn this option off.  From within Office-Logic, click on the Compose icon to create a message.  Click on the Attach>> button located on the right.  You will then be able to uncheck the Compress attachments (ZIP) option.  This is a "sticky" option and remembers if it has been enabled or disabled.

 

If you would like Office-Logic to compress attachments before sending, then make sure that WINZIP is installed on that workstation, and that the WINZIP location is listed on your System Path settings.

 

Configuring the System Path differs between Windows operating systems, and you should consult your network administrator before attempting to change these settings.  However, in Windows XP, the steps to add WINZIP to your System Path settings are:

  1. Click on the Windows Start button, and click on the Control Panel icon.

  2. Double-click on the System icon.

  3. The System Properties menu will appear.  Click on the Advanced tab.

  4. On the Advanced menu, click on the Environment Variables button located at the bottom of the menu.

  5. On the System Variables window, scroll down until you see the Path variable.

  6. Double-click on the Path variable, or highlight the Path variable and click on the Edit button.

  7. Hit the End key on your keyboard to insert your cursor at the end of the other variables already listed.

  8. Type a semicolon ";" and then the location where you installed WINZIP.  An example might be

    ;C:\Program Files\WINZIP

  9. Click OK to save your settings.

 

If WINZIP32.EXE is installed in the same location on each workstation, then the Office-Logic Administrator can enter that information in the OL.INI file which Office-Logic will use as the default setting.  Open the OL.INI file using a text editor program like Notepad.  Edit the following command to show the default path for WINZIP32.EXE:

November 11, 2005 - Can we use any e-mail client to directly access our "DETAINED" SPAM folder?

While Office-Logic InterChange offers tighter integration between Office-Logic Groupware and/or Office-Logic I-Net (which, by the way, are much more secure clients than Outlook, Netscape, or Thunderbird), you can access the White List / DETAINED folder with any IMAP4 client.

 

The DETAINED folder can be managed directly with any web browser or from within the IMAP4 clients.  If you are using Office-Logic InterChange with a POP3 client, then you will need to use a web browser to manage the White List/Block List. If using an IMAP4 client, Office-Logic InterChange will automatically add addresses to your Personal White List when messages are moved from the DETAINED folder to the Inbox. Of course, if using either Office-Logic Groupware or our Office-Logic I-Net client, anyone in your address books are also White Listed as opposed to only those in the System or Personal White List within Office-Logic InterChange. 

 


 

November 4, 2005 - Can I add more definitions on the In/Out Board Comments option.

Yes.  On the In/Out module you can populate the comments field through the Options\Comments menu located on the Menu bar.  Enter one comment per line which will then be available from the Comments pull-down window when selecting a reason for either being In or Out of the office.

 

You can create global comments by switching to the "Global" user, opening the In/Out module and selecting Options\Comments. Both the Personal and Global comments will be combined for the user to select from.

Some users like to use their keyboard instead of using their mouse to execute program commands.  Office-Logic Groupware allows users to easily access options, enable/disable features, toggle between fields, and execute directions using simple keyboard commands.

September 16, 2005 - Can I create a Shared mailbox\folder for all users to access?

Office-Logic Groupware version 8.06 will now allow you to easily define a "Shared" mailbox\folder that all users can access and save e-mail messages to.  E-mail messages that are moved\filed\saved into the Shared mailbox\folder will retain all of their original header information.  This feature allows users to share e-mail information without having to resend or duplicate the message to all your users, while retaining all the original header and content information.

 

To create a Shared mailbox\folder, using your mouse, Right Click on the Shared folder in your Mailbox List located on the left panel.  Select the New Mailbox option.  Type in the name for your new shared folder\mailbox, and select the Shared option for Box Location.  Click on the OK button to save your settings.

 

By default, Office-Logic Groupware will store the shared folder\mailbox data under the {SHARED} directory located in your LOGIC directory.  An example might be:  \\SERVER1\SYS\LOGIC\{SHARED}

 

The Office-Logic administrator can overwrite the location that Shared mailbox\folders are stored.  You will need to edit the OL.INI file which is located in your Global directory, most likely the LOGIC directory on your file server.  In the example below, SharedDir=\\SERVER1\SYS\MAIL\SHARED is the network path to the Shared mailbox\folder.

Make sure that ALL users have sufficient network Rights to be able to access and write to this location.  If you are running Office-Logic Groupware Client Server Edition, then configuring network Security and\or Rights to this location is not an issue.  Office-Logic Groupware Client Server Edition assigns, controls, and maintains all Security and Rights automatically for your Office-Logic users.

 


 

September 2, 2005 - Do I need to run Office-Logic HOST on my network?

Office-Logic Host is required if you will be using Office-Logic Groupware Client Server Edition or Office-Logic Remote.  Office-Logic Host is also needed if you would like to process rules, such as an Auto Reply or Vacation rule, when your Office-Logic Groupware or Office-Logic Groupware Client Server Edition users are not in the office or running the Office-Logic client. 

 

For Office-Logic Remote users, you must first decide whether the remote user will connect using a modem and phone line or an internet connection (or both). If you choose to use an internet connection, the PC running Office-Logic Host must be continuously connected to the internet with a static IP address. Your internet provider will assist you with obtaining a static IP address and setting up the PC to use it. Usually the PC running Office-Logic Host is on all the time and must be logged in to the network. It can run on a dedicated PC, or a user's workstation if desired.

 

To start Office-Logic Host, simply run OLHOST32.EXE in the Office-Logic global directory on the server. You can either start it with "Start/Run" or create a shortcut in the "Startup" group so it starts automatically. You will need to select File/Options from the pull-down menu and specify the global and master (usually the same as global) directories.

 

You will need to open port 2661 on your firewall and have it redirected to the workstation or server that is running OLHOST32.  Port 2661 is the registered port number for Office-Logic Host .

Yes.  Office-Logic Groupware can be configured to automatically not display pictures within Rich-Text messages.  With SPAM on the rise, many unsolicited e-mail messages use graphics to get their information to the users.  Many of these graphics can be vulgar in nature, and usually contain code that sends a verification back to the spammers that your e-mail address is valid.  We strongly recommend that you configure Office-Logic to suppress the automatic display of graphics.  This feature can be toggled On or Off by selecting the Options\Configure menu when using the Office-Logic E-mail Module.  Select the View outside images in e-mail body option.

 

Office-Logic allows users to view graphics within messages by simply clicking on the Images button on the Tool Bar, or by clicking on the Display statement which is located on the top of the Preview Window.  These options are available when an e-mail message contains a picture.

August 5, 2005 - Why does my Windows XP workstation no longer receive notifications?

After you turn on the Windows XP Internet Connection Firewall (ICF), Office-Logic Notifications for E-mail, Phone Messages, and Chat modules may stop working as they should. How can you work around this?

To work correctly, Office-Logic must receive information over the network. The information enters your computer through an inbound port. Your computer must have the correct inbound port open so that the Internet Connection Firewall (ICF) can allow this information to pass through. Office-Logic Groupware requires that you manually open UDP port 512 so that the programs can work correctly.  View our Open Ports page for step-by-step instructions on how to fix this issue.

 


 

July 29, 2005 - Can I access my e-mail, calendar(s) and contacts with my PocketPC?

Yes.  Office-Logic InterChange allows PocketPC devices to access their e-mail using the POP3/IMAP4 client that comes with the device, and synchronize their calendar(s) and contacts using the Web Access Agent Sync Uplink Program (WAASUP).  

 

Using the WEB/WAP browser on your PocketPC device, browse to your Office-Logic InterChange server.  Login to your account and click on the "OPTION" icon. Select the link to download the PocketPC Sync software WASSUP. It will download and install on your PocketPC device. Run WAASUP from the start menu on the PocketPC. It will reside as a Icon in the tool tray area. Select the function you are interested in using.  

 

WAASUP allows you to run the program as a 30-day trial.  To enter the purchased Activation Code, click on the PocketPC Conduit (WAASUP) icon on the PocketPC Task Bar at the bottom of the screen.  Select the "License" option.  Enter the Activation Code and your company name in the "Licensed to:" field.

 


 

July 15, 2005 - Can I limit which users can view and access their Detained folder?

Yes.  Many of our customers want to limit which users have access to a Detained folder for viewing SPAM messages when using the WebMail interface.  From your Office-Logic InterChange server, go to the Configure\Users / Domains menu which lists all of your users.  Highlight one or more of the users that you do not to have access to their Detained folder and click on the Advanced button located on the right.  Uncheck the option Users can view their Detained folder, and click on the OK button to save your settings.

 

This assumes that the White List\Challenge Response option for fighting SPAM has been enabled for these users.  This option currently only limits users from viewing their Detained folder from within the WebMail interface, and will not limit users that are also using Office-Logic Groupware to access their e-mail.

 


July 1, 2005 - Using Office-Logic Groupware to access multiple external e-mail accounts

Office-Logic Groupware can access multiple external POP3 and/or IMAP4 accounts for each user.  To setup Office-Logic Groupware to access multiple accounts, log into Office-Logic Groupware as the GLOBAL user.  Go to the User/Group Maintenance module. Select the user to receive the mail. While viewing the user properties, select the Accounts option. Enter the external POP3 or IMAP4 account information for this user and click on the OK button to save your settings.  Repeat this procedure for each different external account that you want for this user.

 


 

June 17, 2005 - How does Gray Listing block SPAM, and how do I enable this feature?

The Gray List feature depends on increasing the cost of junkmail mail delivery by taking advantage of the current behavior of most "junkmail servers" in that they don't retry delivery of messages to servers that refuse the connection. Each time a particular sender attempts delivery to a particular recipient from a particular IP address range, Office-Logic InterChange looks for the "triplet" of information in its database. If it is the first attempt, it will be added to the database and the sending server will be given a "451 Server busy. Please try again later." message and the attempt terminated. On the second attempt, if it is found to fall within the time window (i.e., more than 59 seconds and less than 4 hours) the message will be delivered. If it tries too quickly (i.e., less than 59 seconds) it will be again rejected as "early" or too late (i.e., more than 4 hours) it will be rejected as "late". Once the triplet is allowed to deliver a message, it will continue to be allowed unless there is no further attempts for more than 36 days. In which case the process will begin again.  While this mechanism doesn't stop all junkmail and it does cause an initial delay (the amount is dependent on the sending servers operation), it has proven to be very effective at stopping a substantial amount of junkmail.

 

To enable Gray Listing in Office-Logic InterChange, go to the Configure\Options menu on the Office-Logic InterChange server and select the Junk Mail tab menu.  Click the box to enable the Block junk-mail by forcing multiple inbound delivery attempts (graylisting) option.  Click the OK button to save your settings.
